Mercedes-Benz Markham is looking for a Sales Administrator to join us!
Job PurposeThe Sales Administrator supports the Sales Management Team by ensuring the efficient administration of all New and Pre-Owned vehicle transactions within the Sales Department. This role also provides reception coverage and assistance as required. The objective of the Sales Administrator is to provide assistance to the Sales Managers by relieving them of administrative tasks, thereby allowing them to concentrate on revenue generating tasks, while still ensuring every customer in the showroom is greeter and directed to the proper personnel.
Additionally, the Sales Administrator is responsible for various administrative tasks associated with stocking and maintaining inventory logs, systems, etc.
- Operate a multi-line telephone system to transfer all incoming calls to the appropriate individual/department in a courteous and professional manner.
- Take accurate and detailed messages as required.
- Distribute mail/faxes and coordinate all courier pickups.
- Respond to emails in a timely and professional manner.
- Coordinate and process customer payments, customer accounts, and cheque requisitions.
- Acquire knowledge about the dealership to respond to inquiries for general information.
- Answer customer inquiries or direct customers to appropriate personnel.
- Assign sales consultants to customers in showroom per appointments/walk‑in rotation list.
- Maintain the cleanliness of the reception area and customer waiting area.
- Update and distribute dealership telephone listings when necessary.
- Close the transaction machine daily (morning and evening as required).
- Process dealer trade invoicing through 180 and ADP/CDK.
- Coordinate dealer trade pick‑ups and deliveries.
- Arrange paperwork and transportation for dealer trades.
- Work with lot attendants to ensure dealer trade vehicles are prepared and ready for pick‑up.
- Conduct daily checks on vehicle arrivals to confirm whether any newly arrived units have been sold via AIM.
- Ensure inventory maintenance accuracy between ADP/CDK, 180, and AIM Inventory Reports.
- Confirm base pricing and vehicle options are entered correctly in all systems.
- Stock all arriving inventory, including new vehicles delivered to the dealership and vehicles purchased through Manheim, Openlane, and other pre‑owned sources.
- Complete the Garage Register for both new and pre‑owned inventory.
- Complete daily licensing requirements as needed, ensuring all documentation is processed accurately and on time.
- Assign stock numbers to all incoming vehicles in 180 and Garage Register.
- Complete all daily reports in accordance with Mercedes‑Benz Markham’s operational needs.
- Scan all delivered deal files into CDK for same‑day deliveries.
- Submit RDR reporting to Mercedes‑Benz Canada for all new vehicles (and used vehicles as required).
- Handle RDR for demo vehicles per management’s instructions and update all information in 180 after RDR.
- Move files to management once vehicles are invoiced and assign M stock numbers when required.
- Arrange Mercedes‑Benz Canada training for all sales employees.
- Order and maintain office supply levels (tape, staples, pens, sticky notes, etc.).
- Back up other Sales Administrators as required.
- Perform clerical and administrative duties as assigned by management.
- Other duties as assigned.
- Valid Ontario G Driver’s Licence.
- Previous experience in automotive dealerships.
- Strong attention to detail and accuracy.
- Excellent organizational and time‑management skills.
- Ability to collate and record information accurately while maintaining detailed records.
- Logical, systematic approach to tasks.
