Position Summary

New England Innovation Academy seeks a hands on, detail driven and customer service oriented Operations Coordinator. The Operations Coordinator executes the day-to-day administrative, logistical, and facilities workflows for the school. Reporting directly to the Head of Operations the Operations Coordinator ensures that facilities run smoothly so teaching staff can focus entirely on education. The ideal candidate coordinates operational functions across facilities, transportation, housekeeping, food service, and security and safety to ensure campus readiness year-round.

This role combines hands‑on facility upkeep with coordination of vendors and contractors, ensuring the campus remains safe, functional, and attractive for current and prospective students. This position is full time, 12 month, benefits eligible position.

This role is ideal for someone who thrives in a fast‑paced environment, enjoys keeping projects organized, communicates well with both clients and teams, and takes pride in making sure details don’t fall through the cracks. Essential Duties and Responsibilities Daily Campus Logistics
  • Maintain cleanliness and upkeep of common areas, including restrooms, hallways, and entryways.
  • Conduct regular, comprehensive physical inspections of all interior and exterior campus spaces—including multi‑story academic buildings, student dormitories, common areas, and the athletic center. Personally traverse the entire multi‑building campus daily to evaluate cleanliness, monitor grounds upkeep, audit facility standards, and ensure strict compliance with institutional safety and maintenance protocols.
  • Manage campus flow:
    Direct morning drop‑off and afternoon dismissal routines, including traffic and parking lot safety.
  • Coordinate space usage:
    Collaborate with key stakeholders to update the master school calendar to schedule classrooms, athletic fields, and meeting rooms for events.
  • Maintain supply inventories:
    Order, stock, and distribute classroom materials, office supplies, and staff room necessities.
  • Personally execute on‑ground operational tasks when necessary to ensure campus continuity.
  • Support school events:
    Oversee room setups, technology placement, and teardowns for assemblies, sports games, and parent‑teacher nights, etc.
Facilities & Vendor Coordination
  • Monitor plant maintenance:
    Conduct daily walkthroughs to spot maintenance issues and log repair tickets with the custodial or facilities team. Follow up to ensure the issue is resolved in a timely manner.
  • Liaise with third‑party vendors:
    Serve as the main point of contact for daily cleaning crews, waste management, etc.
Safety, Security, & Compliance
  • Audit safety hardware:
    Perform routine checks on security cameras, door locks, fire extinguishers, and first‑aid kits.
Auxiliary Services & Administrative Support
  • Coordinate school transit:
    Troubleshoot daily bus routes, coordinate field trip transportation, and coordinate transportation for athletics/explorations.
  • Support food services:
    Coordinate with cafeteria staff or external catering vendors to ensure daily meal services run on time.
  • Participate in weekly Operations Team meetings.
  • Perform other duties and responsibilities as assigned and required by the position and the school.
Supervisory Responsibilities
  • The Operations Coordinator does not supervise other employees at NEIA.
Education and/or Experience
  • Bachelor’s degree in Business Administration, Education, or a related field.
  • Minimum 2 years of experience in operations management, preferably in an educational or startup setting.
  • Proficiency with Google Suite, MS Office, Maintain X Work Order System, advanced Excel skills are a must.
  • Pass a comprehensive criminal background check, fingerprinting, and child registry clearances.
