Definition: This position functions as the primary Dispatcher for the Department of Public Works, focused on delivery of exceptional service to the community and City Departments in need of assistance while providing administrative support to the Department
Essential Functions include:
- Serves as the Department’s primary point of contact and dispatcher by receiving and assessing service requests, determining the appropriate response, coordinating with DPW personnel, and providing residents and City departments with timely and accurate information.
- Answers telephone phone calls, respond to inquiries, and routes messages to appropriate personnel.
- Enters, updates, tracks, and closes work orders within the Department's work order management system while maintaining accurate service records.
- Relays requests from Police Dispatch regarding areas that need an immediate response.
- Coordinates and dispatches DPW field personnel to assigned locations.
- Monitors the department website and social media, posts updates as requested by administration, and processes online constituent inquiries and service requests.
- Maintains the departmental database and records, ensuring the timely distribution of operational information, including Dig Safe notifications, maintenance requests and the vehicle accident report databases.
- Provides administrative support for the Resident Drop-Off Facility including responding to public inquiries, processing permit sales, and preparing deposits for collected fees.
- Provides administrative support of snow and icevendors including coordination, ordering materials, maintaining records, processing invoices, and tracking operational activities.
- Schedules and coordinates the City of Marlborough building rentals, including City and School buildings, prepare rental agreements, collect fees, and process deposits.
- Coordinates the Hometown Hero Banner and Clean Sweep programs, including application processing, recordkeeping, and public communication.
- Cross trains with other DPW administrative staff to provide operational coverage during absences and periods of increased workload.
- Participates in emergency response operations, including severe weather events and other municipal emergencies, as required.
- Performs other related job duties as required
MINIMUM QUALIFICATIONS: Any equivalent combination of the below-listed education, training, certification, and experience, is qualifying:
- High School diploma or equivalent.
- 1 to 3 years of related experience.
KNOWLEDGE, SKILLS, AND ABILITIES
- Practical knowledge of customer service best practices and general computer applications. Knowledge of basic accounting practices.
- Excellent oral and written communication skills. Strong interpersonal and problem-solving skills.
- Ability to work in groups with other employees and with the general public; communicate effectively in written and oral form; be organized and pay attention to details; operate standard office equipment and computer software and database administration.
