About the roleThe Events Marketing Specialist serves as the operational lead for congresses, trade shows and sales meetings. This role is accountable for high-quality event delivery, including logistics, exhibit management, vendor coordination, compliance execution, budget management and on-site operations.
Success in this role is measured by operational excellence, risk mitigation, budget adherence and executional quality. You will partner closely with Global Meetings Management, Marketing, Sales, Sales Training, Omnichannel, Procurement, Legal, Compliance, the Exhibits & Events Experience Specialist and external vendors to deliver high-quality, compliant event experiences.
Work model, sponsorship, relocationAt Boston Scientific, we value collaboration and synergy. This role follows a hybrid work model requiring employees to be in our local office at least three days per week. Boston Scientific will not offer sponsorship or take over sponsorship of an employment visa for this position at this time. Relocation assistance is not available for this position at this time.
Your responsibilities will include- Lead operational planning and execution for national and global trade shows, medical congresses and key sales meetings.
- Manage booth logistics, exhibit assets, shipping, freight, installation and dismantling, labor, show services, audiovisual coordination and on-site operations.
- Manage end-to-end event logistics, including housing, reporting, vendor coordination, room setup, contracting, site inspections, transportation, banquets, charity events and off-site activities.
- Coordinate with cross-functional teams and external vendors to ensure event plans, timelines and requirements are executed accurately and on schedule.
- Direct operational vendor relationships, including asset management, exhibit houses, audiovisual providers, freight partners, show services and on-site labor providers, and monitor performance against service-level expectations.
- Manage event budgets, forecasting, purchase orders, spend tracking, invoice processing and financial reconciliation.
- Ensure executional compliance with health care industry regulations, internal health care professional engagement policies, congress requirements and company processes.
- Execute approved lead capture processes, oversee on-site lead retrieval technology, troubleshoot operational issues and ensure accurate data handoff to activation and marketing teams.
- Provide operational reporting, including budget status, attendance and support metrics, logistics performance, vendor scorecards, risks and post-event operational debriefs.
- Identify operational risks and implement mitigation plans to support high-quality delivery of high-visibility and executive-level events.
- Travel domestically and, as needed, internationally to support on-site event execution and operational excellence.
- Bachelor's degree.
- Minimum of 3 years' experience in event logistics, tradeshow operations, health care programs or a related field.
- Understanding of hotel industry operations and experience partnering with major hotel chains.
- Strong project management, vendor management and organizational skills.
- Ability to manage multiple priorities in a fast-paced, matrixed environment with strong attention to detail.
- Excellent communication and stakeholder management skills.
- Ability to travel domestically and internationally, as needed, to support on-site event execution.
- Experience supporting health care professional-facing events in medical technology, health care, biotechnology or pharmaceutical industries.
- Knowledge of the Sunshine Act/Open Payments, Adva Med Code and applicable health care compliance requirements.
- Experience with Cvent, Salesforce, customer relationship management platforms, lead retrieval systems and event technologies.
- Experience with budget management, purchase order processing and financial reconciliation.
- Certified Meeting Professional or Certified Trade Show Marketer certification.
