Job Description

We’re looking for a seasoned and amicable Administrative Assistant to be the “front face” of My Insurance Lady! As the first point of contact in our client experience, you will lead the way in creating a warm, inviting atmosphere for our community. Whether you are solving a complex client issue or ensuring our back‑office processes run like clockwork, you are the key culture carrier who keeps our team committed to our mission.

We are looking for a full‑time professional who is solutions‑oriented, highly organized, and eager to grow with a close‑knit team. Your ultimate objective is to drive client engagement and ensure our office operations are seamless, allowing our agents to focus on what they do best: helping people.

Daily Responsibilities
  • Engage with clients through in‑person, phone, and electronic communications with warmth and enthusiasm.
  • Oversee appointment scheduling, registration, and incoming/outgoing mail, including creating personalized packets with hand‑written notes.
  • Manage electronic and hard‑copy client files, handle authorization forms, and coordinate signature pages for the sales team.
  • Work consistently within our CRM to prioritize tasks, delegate calls, and manage office objectives.
  • Maintain overall office upkeep, manage equipment, and order supplies to ensure a professional environment.
  • Maintain strict adherence to HIPAA regulations at all times to protect our clients’ privacy.
Qualifications
  • 13 years of customer service or administrative experience in a professional setting.
  • High School Diploma or GED required (post‑secondary education is a plus).
  • High level of poise and the ability to remain calm and professional during stressful situations.
  • Basic proficiency in Microsoft Word/Excel, Google Docs, Adobe, and e‑Signature platforms.
  • Availability to work overtime hours from October through mid‑December during peak season.
  • Working knowledge of the health insurance industry is a definite plus.

  • Effective communicator with excellent verbal and written communication skills and attention to detail.
