Reports To: Marketing & Development Coordinator

Shift: Full-Time, Monday-Friday, 8am-4pm

Pay: $17-20/hour, dependent upon experience

Profile

The Administrative Associate is the welcoming heartbeat of Prairie Home Hospice's administrative office. This position helps keep daily operations smooth, organized, and connected while creating a warm and professional experience for visitors, families, volunteers, and staff.

Through front desk support, volunteer coordination, donation tracking, event assistance, and other essential administrative duties, the Administrative Associate strengthens Prairie Home Hospice's ability to serve patients, families, and the community with compassion.

Essential Duties and Responsibilities Front Desk Operations:
  • Welcome visitors and provide a warm, professional first impression.
  • Answer and direct incoming telephone calls.
  • Assist staff with administrative needs and general office support.
  • Maintain an organized, efficient, and professional front office environment.
Daily Office Support:
  • Receive, sort, and distribute incoming mail and prepare outgoing mail.
  • Assist volunteers with questions, schedules, and administrative needs.
  • Track donations and maintain accurate related records.
  • Coordinate patient birthday and anniversary acknowledgments and celebrations.
  • Maintain organized filing and recordkeeping systems.
  • Perform general clerical and administrative duties that support daily operations.
  • Assist with recruiting volunteers for patient support, hospice house activities, community events, and other organizational needs.
  • Orient and train new volunteers.
  • Coordinate volunteer schedules and assignments.
  • Communicate with volunteers regarding opportunities, expectations, and scheduling needs.
  • Maintain complete and accurate volunteer records.
Event and Fundraising Support:
  • Assist with event and fundraising mailings.
  • Provide administrative and logistical support for community events and fundraising activities.
  • Help prepare materials, organize information, and complete follow-up tasks.
  • Support efforts that strengthen Prairie Home Hospice's presence and relationships within the community.
Team Engagement:
  • Participate in staff meetings and organizational activities.
  • Complete all required training and education.
  • Communicate respectfully and effectively with staff, volunteers, patients, families, and community members.
  • Contribute to a positive, supportive, and collaborative workplace.
  • Perform additional duties as assigned to support organizational operations.
