Overview
Job Description The Administrative Support Assistant provides direct support to the Vice Chancellor for Communications and Marketing and has interaction and communication with upper-level university and University of Tennessee System personnel. This position also supports the Assistant Director for News and Visuals and the Assistant Director of Marketing and is the sole administrative support position within the Office of University Relations.
Responsibilities- Manage all office Oracle interface including invoice, purchase order and contract entry, travel and expense report entry, and procurement card monitoring and reconciliation.
- Provide budget tracking, reconciliation, preparation and planning.
- Prepare publicity releases relating to commencement, honor roll and scholarship awards and release them to the news media.
- Schedule the university photography staff; collect payments and prepare deposits and transfers for internal payments for photography services/photographs.
- Order and stock office supplies; track and document news hits and archive news clippings and cutlines; update and maintain the university speakers guide; coordinate onboarding for new office employees.
- Take minutes of meetings as required for the office or committees on which the Vice Chancellor serves; assist with proofing news releases, official publications and marketing materials.
- Complete various other support functions for the Office of University Relations.
- Supervise any assigned work-study students.
Minimum Qualifications
- High school diploma with four years of relevant experience, or a combination of education, training, and experience.
- Accounting experience with extensive knowledge of Microsoft Word, Outlook, and Excel.
- Ability to organize, prioritize, and multitask.
- Excellent oral, written, interpersonal, and customer service skills.
- Skilled in the use of office equipment, computers, multi-line phone system, printer/fax/copier/scanner, calculator.
- Ability to work independently as well as in a team setting without direct supervision.
- Must have the ability to supervise, motivate, and direct student workers.
- Experience in budget planning, reporting, and reconciliation.
- Bachelor’s degree in business, accounting, or related field.
- Three years of higher education experience.
- Familiarity with Banner and ACE student and alumni tracking systems.
- Knowledge and proficiency using Oracle software.

Hiring range $16.48 - $20.00 per hour (Market Range 06) – Salary commensurate with education and experience.
