Description
MyFamily Braces is seeking a dependable, organized, and patient-focused Front Desk Administrative Assistant to join our orthodontic team. This position is ideal for someone who communicates professionally, enjoys helping patients and families, and can manage multiple responsibilities in a busy healthcare office. The front desk plays an essential role in creating a welcoming patient experience while supporting an efficient daily schedule.
PrimaryResponsibilities
- Welcome patients and families in a friendly and professional manner
- Answer telephone calls, text messages, and patient inquiries
- Schedule, confirm, reschedule, and coordinate orthodontic appointments
- Check patients in and out accurately and efficiently
- Review patient accounts and collect scheduled payments
- Explain office policies, payment expectations, and appointment requirements professionally
- Maintain accurate patient, insurance, and responsible-party information
- Assist with insurance verification, claim follow-up, and benefit documentation as assigned
- Prepare and send patient correspondence, forms, financial notices, and appointment reminders
- Document communications and account activity accurately in the patient record
- Monitor the daily schedule and communicate changes with the clinical team
- Help manage missed appointments, late arrivals, and scheduling concerns according to office policies
- Protect patient confidentiality and follow HIPAA requirements
- Maintain a clean, organized, and professional reception area
- Complete general administrative duties and support the office team as needed
- Previous administrative, medical, dental, or customer-service experience is preferred
- Dental or orthodontic front‑office experience is strongly preferred
- Strong verbal and written communication skills
- Professional telephone and text‑message etiquette
- Excellent organization, attention to detail, and time‑management skills
- Comfortable discussing payments, account balances, and office policies with patients
- Ability to remain professional when handling sensitive or difficult conversations
- Basic computer proficiency and ability to learn new software
- Cloud 9 Orthodontics experience is a plus
- Bilingual English and Spanish skills are a plus
- Dependable attendance and punctuality are required
