Minimum Qualifications
High school diploma or business certificate with a major emphasis on data entry, record management, word processing: or general high school diploma with work experience in a business office.
Job SkillsKnowledge of general office procedures and good usage of proper language skills, spelling, and punctuation. The Administrative Assistant must possess the ability to greet and give directions to people coming into the office and handle telephone calls with courtesy and efficiency to direct them appropriately. Also, must perform filing tasks, file maintenance, and assist in the financial record-keeping. Must have experience and knowledge of accounting principles to aid in the financial endeavors of Dan River ASAP.
Job DescriptionThe Administrative Assistant greets the public and probationers and directs them to the appropriate staff person. This position is most often the first agency representative contact and, therefore, must be careful to present themselves in a helpful and professional manner. The Administrative Assistant shall be directly responsible to the Executive Director and is DRASAP immediate supervisor in the absence of the Executive Director.

- Accepts and enters received payments onto the computer.
- Answers calls and route the calls to the appropriate staff.
- Enroll individuals by taking advanced information when they come from court or telephone in.
- Enter DMV enrollment information and other DMV information, such as that pertaining to ignition interlock, as requested.
- Enter data on each probationer’s file into data management system and prepare the file.
- Maintain statistical data on probationers.
- Schedule Intake appointments.
- Run DMV transcripts.
- Maintain form supply – type and copy as needed.
- Maintain supply inventory and order as needed, seeking approval of Executive Director for large purchases.
- Perform filing and purging tasks as directed.
- Coordinate Driver Improvement program – Enroll and process driver improvement cases, including letters, roster, collecting fees, arranging classes, entering needed information into Extranet, etc.
- Gather information and schedule DMV required intervention interview appointments. Enter completion of intervention interview onto DMV database.
- Assist in the collection of information in preparation for license restoration evaluations.
- Assist in the balancing of daily work to deposit and accounts receivable.
- Delegating staff to make daily deposits ensuring separation of fiscal duties.
- Prepare and send out monthly statements to probationers that are overdue in making VASAP payments.
- Assist the Executive Director as needed in any job-related tasks.
