Position Summary
While working as a Billing & Accounts Payable Specialist, you will be tasked with computing, classifying, recording, and verifying numerical data for use in maintaining accounting records as well as handling any disputes that arise. The person in this position assists with performing the operational functions of the department, ensuring accurate records and correct accounts, as well as scanning and accurately filing documents.
Essential Duties and Responsibilities- Ensuring that invoice packets are complete and accurate.
- Using the company's ERP system to confirm there is an acceptable profit margin, and if not, investigating why that is by communicating with other departments.
- Audit invoices against purchase orders, research any discrepancies, and reconcile for payments.
- Calling and/or emailing vendors to review and correct invoice errors.
- Coding data for input into the company's financial data processing system according to company procedures.
- Catching and correcting any mistakes that are found in invoice packets, the company's ERP system, or the company's financial data processing system.
- Entering all information into the accounting software daily.
- Assisting with the processing of checks on a weekly basis and reviewing them for accuracy.
- Assisting with processing credit cards for vendors that take credit cards.
- Communicating and collaborating with other departments on a regular basis.
- Maintaining a calendar of recurring charges and expenses to be received.
- Scanning and filing of completed and paid invoices for document retention.
- Regular, reliable, and punctual attendance.
- Other duties as assigned.
- Work on job assignments in other departments as instructed.
- Associate’s degree preferred and at least two years experience in finance or a related field.
- Solid understanding of computers, data entry, internet searches, the Microsoft Office suite, and email applications.
- Prior experience with ERP systems or accounting software (Quick Books or related) is preferred.
- Strong attention to detail.
- Good written and verbal communication skills.
- Basic mathematical skills.
