Position SummaryThe Financial Coordinator provides day-to-day transactional and administrative support to Coastal Pools' Finance team, with primary responsibility for accurate and timely Accounts Payable processing, Accounts Receivable support, expense reimbursements, vendor maintenance, financial data entry, and recordkeeping.
This position serves as an important execution layer within the Finance function. The Financial Coordinator is expected to maintain accurate records, follow established financial processes, protect confidential information, identify discrepancies, and ask questions rather than make assumptions when information is unclear.
This is also a developmental opportunity for someone interested in building a career in accounting and finance, with the potential to progress toward a Senior Financial Coordinator or Accountant track as their skills and knowledge develop.
Essential Duties & Responsibilities Accounts Payable- Enter vendor invoices into the accounting system with accurate coding.
- Match invoices to purchase orders and receiving documentation.
- Prepare weekly AP runs for review and approval.
- Reconcile vendor statements and investigate discrepancies.
- Communicate professionally with vendors regarding invoice and payment questions.
- Generate and distribute customer invoices accurately and on time.
- Apply customer payments and reconcile payments against open receivables.
- Assist with collections by sending statements and follow‑up communications under direction.
- Maintain accurate customer payment records.
- Process employee expense reports and reimbursements.
- Verify receipts, documentation, and proper coding in accordance with company policy.
- Identify and flag exceptions for review.
- Set up new vendors and collect required documentation, including W-9s, banking information, and payment terms.
- Maintain accurate and current vendor master records.
- Prepare 1099 information and assist with year-end vendor reporting.
- Maintain organized digital and physical financial records.
- Accurately enter financial transactions and other accounting data.
- Assist with journal entries under the guidance of accounting leadership.
- Support month-end close activities, including cutoff verification and reconciliation preparation.
- Respond professionally to vendor and internal inquiries.
- Assist the Financial Accountant and Director of Finance with reporting, research, and special projects.
- Maintain strict confidentiality regarding company, employee, customer, and vendor financial information.
- Perform other finance-related responsibilities as assigned.
- High school diploma or equivalent required.
- Associate degree in Accounting, Finance, Business Administration, or related field preferred.
- Previous bookkeeping, Accounts Payable, Accounts Receivable, finance, or administrative accounting experience preferred.
- Comfortable working with accounting systems, Microsoft Excel, and other business software.
- Experience working with invoices, purchase orders, expense reports, reconciliations, or financial records is a plus.
