Job Description Summary
This position provides senior-level executive and administrative support to the Executive Director in advancing the operations, governance, and strategic priorities of the PGCC Foundation. The role serves as the primary point of coordination for Foundation Board and committee activities, executive communications, donor engagement support, and compliance functions. Acting as a trusted partner to the Executive Director, this position ensures continuity, confidentiality, and effective execution across executive workflows and advancement priorities.
Minimum Qualifications
EDUCATION AND EXPERIENCE
* Associate's degree (or higher) required.
* Minimum of four (4) years of progressively responsible administrative or executive support experience, including experience supporting senior leadership, boards, or advancement/foundation operations required.
* Demonstrated experience in one or more of the following strongly preferred:
Foundation or nonprofit governance support; donor relations or advancement administration; compliance filings and board documentation; budget monitoring or procurement coordination.
* Bachelor's degree in Business Administration, Communications, Public Administration, or related field strongly preferred.

ESSENTIAL DUTIES
Foundation
* Serve as the central point of coordination for the Executive Director's Foundation responsibilities, ensuring continuity of executive workflows, governance calendars, and priorities.
* Coordinate executive-level communications and activities for the Executive Director, facilitating effective engagement with a 29-member Foundation Board (maximum 35), senior leadership, donors, and internal stakeholders in support of governance and advancement priorities.
* Independently prepare and coordinate executive-level reports, presentations, and briefing materials for Foundation Board and committee meetings to support informed governance decision-making.
* Establish working relationships with external stakeholders to schedule and coordinate details for meetings and other activities of the Prince George's Community College Foundation, Inc. of a varied and complex nature.
* Coordinate and prioritize executive-level donor and prospect engagements for the Executive Director, exercising discretion due to donor sensitivity and institutional reputation.
* Coordinate end-to-end Foundation Board and committee meeting processes, including agendas, documentation, official records, and follow-up actions to ensure continuity and compliance.
* Prepare, review, and maintain official Board and committee records in accordance with bylaws, governance standards, and audit requirements.
* Maintain executive-level governance and donor records for the Foundation, ensuring confidentiality, accuracy, and compliance across systems.
* Monitor and coordinate Foundation-related financial documentation and transactions, identifying discrepancies or compliance concerns and elevating issues to the Executive Director.
* Coordinate Foundation compliance activities, including required state and federal filings, renewals, and documentation to ensure continued regulatory standing.
* Develop, maintain, and recommend updates to executive-level Foundation procedures to support efficiency and consistency.
* Plans/assist in planning and executing signature event and other cultivation events throughout the year.
Office of Institutional Advancement
* Manage and prioritize the Executive Director's calendar and commitments, exercising delegated authority to resolve scheduling conflicts related to Executive Director-level activities.
* Serve as a senior executive support partner to the Executive Director, anticipating advancement and Foundation operational needs with minimal supervision.
* Draft, edit, and coordinate executive-level correspondence, reports, and briefing materials supporting advancement leadership and executive decision-making.
* Coordinate executive-level and advancement-related events on behalf of the Executive Director, ensuring alignment with established procedures and assigned roles.
