About The Position

Position:
Administrative Assistant (Administrative Assistant 3A) – Grade A24 Department:
Office of the Director, Department of Permitting, Inspections, & Enforcement (DPIE)

Responsibilities
  • Manage and coordinate internal and external communications, promoting a positive public image.
  • Maintain and optimize the department website, ensuring content is up‑to‑date and user‑friendly.
  • Create and edit graphics, flyers, brochures, and web content for social media and other platforms.
  • Develop and implement social media campaigns on Linked In, Instagram, Facebook/META, and X, monitoring metrics and reporting weekly.
  • Collaborate with departmental divisions to align content with DPIE’s mission and branding.
  • Assist with administrative tasks—reporting, scheduling, and documentation—to support daily operations.
Examples of Work Website Maintenance
  • Content Management – add and update text, images, and multimedia; publish within 24 hours of receipt.
  • Performance Analysis – monitor website traffic, analyze data, and produce monthly reports.
  • Collaboration – work closely with divisions to ensure alignment with DPIE’s mission.
  • User Experience – ensure a high‑quality, easy‑to‑navigate site.
Graphics & Writing
  • Design visual assets, including digital and print materials, selecting appropriate colors, fonts, and layouts.
  • Produce engaging written content for various formats, ensuring quality and research support.
  • Meet weekly with divisions to identify needs and adhere to goals and deadlines.
Social Media
  • Develop and execute communication strategies to increase brand awareness.
  • Create, curate, and manage content across platforms.
  • Analyze metrics, provide actionable insights, and report weekly.
  • Edit and proofread all content for clarity, grammar, and style compliance.
Qualifications

Minimum Qualifications
  • Bachelor’s degree in Liberal Arts, Social Sciences, or Public/Business Administration (or a closely related field).
  • Two (2) years of progressively responsible administrative experience in government or business.
Preferred Qualifications
  • Bachelor’s degree in Communications, Public Relations, Journalism, or a related field.
  • 2–5 years of communications or public relations experience, with excellent written and verbal communication skills.
  • Creative thinking and strong interpersonal abilities.
Conditions of Employment
  • Meet all training and performance standards.
  • Use protective apparel and equipment when required.
  • Pass pre‑employment checks, including background and drug screenings.
  • Serve as an essential employee: attend work during standard or non‑standard hours, emergencies, or when other County employees are on administrative leave.
