(In‑person, Full‑Time) A long‑standing commercial real estate organization based in Owings Mills, MD is seeking a detail‑oriented, proactive Executive Assistant to support the President and help ensure efficient day‑to‑day office operations. The company has more than 50 years of experience in the Baltimore market and specializes in developing, managing, and acquiring income‑producing commercial properties.

Job Responsibilities
- Provide executive‑level administrative support including calendar management, scheduling, correspondence, and expense reporting.
- Maintain corporate files, archive systems, construction plan inventory, and tenant documentation.
- Prepare lease prep forms, draft lease agreements and renewals, and create welcome packets.
- Answer phone lines professionally; manage incoming and outgoing mail and courier items.
- Assist with internal and external communications, meeting preparation, and company events.
- Process and log invoices (recurring, utilities, maintenance) and support construction/maintenance billing tasks.
- Maintain tracking databases such as tenant HVAC contracts and certificates of insurance.
- Log daily checks before forwarding to accounting.
- Provide backup support to other administrative staff and assist with office operations such as supply ordering.
- Bachelor’s degree preferred (Business, Real Estate, Communications, Pre‑Law welcome), but open to relevant experience.
- Minimum 3+ years of executive‑level administrative experience, including scheduling, correspondence, and confidential support.
- Commercial real estate experience is helpful but not required—training provided.
- Strong Microsoft Office 365 proficiency, excellent writing skills, and high attention to detail.
- Warm, organized, tech‑savvy, proactive, and comfortable interacting with senior leadership and external partners.
- Ability to manage multiple priorities, work independently, maintain confidentiality, and follow through on tasks.
