- Administrative Support & Coordination:
Plan and coordinate scheduling, administrative tasks, and logistics; independently synthesize and prioritize competing requests; make recommendations to leadership and the support team as needed. - Travel Coordination:
Serve as the primary travel coordinator for complex international travel arrangements, ensuring that multiple overlapping trips are efficiently managed; prepare necessary travel documents and reservations using the E2 Solutions travel management system; arrange country clearances, visas, and other relevant documents. - Meeting & Workshop Coordination:
Assist in planning, coordination, and execution of meetings and workshops; handle logistics, scheduling, agenda development, communications, IT preparations, and provide direct support during meeting execution; assist with summaries, tracking actions, and post-event follow-ups. - Special Projects Support:
Provide support for special projects, including All Hands, team-building events, and emergent leadership needs. - Research & Briefing Preparation:
Conduct research and prepare briefing packages for leadership before critical decisions, events, and meetings; include agendas, background material, biographical information, and logistics details. - Communication Support:
Provide support for leadership communications both internally and externally; oversee and manage information requests and ensure the efficient and timely delivery of responses; conduct research to minimize unnecessary data calls and reduce the burden on teams. - Reporting & Document Management:
Coordinate reporting for program accomplishments and activities; review a wide variety of documents, communications, and reports; distribute and maintain meeting materials, notes, summaries, and other types of documents. - Organizational Support & Problem Solving:
Provide expertise in organizational, problem-solving, and project coordination skills; offer recommendations and review office-operating practices; suggest new methods or initiatives for streamlining administrative functions. - Procurement Assistance:
Support with government purchase cardholder duties, including preparing items to be ordered, receiving supplies, and maintaining inventory. - Database & Technology Support:
Develop and work with databases and spreadsheets to assist with data management; provide expertise in Microsoft Office Suite (PowerPoint, Word, Excel) and Google Workspace (Slides, Docs, Sheets) and other briefing products.
- Bachelor's degree in a related area from an accredited university.
- 5-6 years of experience in the field or a related area.
- Expertise in administrative support, project coordination, and logistics management.
- Experience with Senior Federal Government Officials (Preferred).
- Experience in coordinating and managing domestic and international travel arrangements, including preparing and tracking travel authorizations and vouchers through systems like E2, focusing on compliance with Federal Travel Regulations.
- Proficiency with Microsoft Office and Google Workspace tools.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple tasks and competing priorities in a fast-paced environment.
