Reports To: Director of Operations

Location: In Tampa, FL Office

Employment Type: Full-Time

Status: Hourly

Hours: 40 Hours Per Week, 8:30am — 5:00pm

Compensation: Starting Pay $25 / Hour Depending on Experience Plus Incentives

Summary

The Matt Law Litigation Scheduler is a key team player whose focus and responsibility is the handling of multiple calendars for the lawyers. This requires coordination and cooperation with opposing counsel, courts, medical providers, and witnesses for scheduling of hearings, depositions, mediations, arbitrations, compulsory medical exams, court reporters, videographers, expert witnesses, healthcare professionals, and trials. The position requires excellent organizational skills, clear communication, proficiency with email and online scheduling software, and strong attention to detail and follow through.

Essential

Duties And Responsibilities
  • Schedule and coordinate meetings, hearings, depositions, mediations/arbitrations, trials, and compulsory medical examinations.
  • Prepare and send notices for hearings, depositions, mediations, and arbitrations.
  • Obtain Zoom and court information for the notices, and create calendar entries with attached notices, motions, and login information.
  • Coordinate court reporters, videographers, and witnesses for depositions and trials.
  • Confirm events with all parties the day before any event.
  • Monitor calendar for cancellations and update all concerned participants of cancellations or changes.
  • Update the Master Trial List.
Experience And Skills Required
  • Associate's degree in paralegal studies or equivalent experience.
  • Professional punctuality and appearance.
  • Excellent organizational skills and strong attention to detail.
  • Efficiency and ability to complete projects within deadlines.
  • Strong analytical and problem‑solving skills.
  • Exceptional communication and interpersonal skills.
  • Positive attitude, cooperation, respect for colleagues, and team player mentality.
  • Ability to work well under pressure and manage multiple projects simultaneously.
  • Proficiency in Excel, Google Docs, Google Sheets, and Slack.
