Administrative Specialist in Belcamp, MD

Essential Duties & Responsibilities

  • General administrative duties to support senior management. This includes personnel related matters, including personnel records maintenance, maintaining tracking spreadsheets for various company needs.
  • Creates, customizes, prepares, and maintains presentations, briefing charts, and technical and nontechnical documents using computer software (e.g. Microsoft Office Suite), websites, graphical elements, scanned photos, and other presentation matter. Responsible for preparing documentation from draft to final form.
  • Filing and organizing paperwork.
  • Answering phones

Required (Minimum Necessary) Qualifications

  • Education Requirements:

    High School Diploma or GED
  • Level of Experience Requirements:
    Two plus years of experience in Administration Support.

Knowledge, Skills, Abilities, and Other Characteristics

  • Ability to communicate clearly, both orally and in writing.
  • Ability to file documents in folders and binders.
  • Organizational skills commensurate with position.
  • Proficient in various Microsoft Office Suite products and Sharepoint.
  • Work well with all levels of internal management, staff, outside clients and vendors.
  • Sensitivity to confidential matters is required.
  • Knowledge of organizational procedures and workflows – understanding how work moves through a company.
  • Basic knowledge of relevant technologies or tools – e.g., Microsoft 365, communication platforms, or industry‑standard software.
  • Knowledge of customer service practices – principles of providing quality service and managing inquiries professionally.
  • Knowledge of data privacy and confidentiality principles – awareness of proper handling of sensitive information.
  • Communication skills (written and verbal) – ability to convey information clearly and professionally.
  • Time management and prioritization – balancing multiple tasks and meeting deadlines.
  • Problem‑solving and critical thinking – analyzing issues and selecting appropriate solutions.
  • Interpersonal and teamwork skills – building rapport and collaborating effectively with others.
  • Attention to detail – producing accurate, error‑free work.

Preferred

  • Finance / Accounting and Deltek Costpoint experience is a plus.
