POSITION SUMMARY

The Instructional Programming Clerk serves as the first point of contact for visitors, staff, and community members, providing professional customer service, managing communications, and supporting the safe and efficient operation of the central office. Ensures building security through visitor management and access control procedures, coordinates administrative functions for the Supervisor of School Safety, supports Board policy and administrative procedure publication, and provides operational support to the administrative department.

Maintains confidentiality, exercises sound judgment, and performs a variety of administrative duties in accordance with Board policies and district procedures.

Education, Certification and Experience
  • High School diploma or General Education Development (GED) program certificate or equivalency.

Knowledge, Abilities and Skills
  • Knowledge of office administration practices, procedures, and customer service principles.
  • Knowledge of visitor management, access control, and school safety procedures.
  • Skill in operating multi-line telephone systems, office equipment, and standard computer applications, including Microsoft Office and database systems.
  • Ability to communicate effectively and professionally, both orally and in writing, with staff, students, parents, vendors, and community members.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive student, personnel, and district information.
  • Ability to organize, prioritize, and manage multiple tasks, deadlines, and frequent interruptions in a fast-paced environment.
  • Ability to maintain accurate records, prepare correspondence and reports, and perform detailed clerical and administrative work.
  • Ability to exercise sound judgment, remain calm under pressure, and respond appropriately to emergencies, safety concerns, and difficult situations.
  • Ability to establish and maintain effective working relationships with colleagues, administrators, and the public.

Essential Job Functions, Responsibilities, and Duties
  • Welcomes and assists visitors, staff, and community members in person and by telephone by providing information, answering questions, and directing inquiries to the appropriate individual or department.
  • Operates and maintains the central office telecommunications system by answering, screening, routing, and monitoring incoming calls and communications.
  • Serves as the first point of contact for visitors and supports the security of the central office by controlling visitor access, verifying identification and visit purpose, monitoring building entry points, reporting safety concerns, and assisting with emergency response procedures in accordance with Board policy and administrative regulations.
  • Maintains building security by monitoring the CCPS Integrated School Safety Software, processing visitor registrations, verifying visitor information, and issuing visitor badges in accordance with established procedures.
  • Provides information and direction to visitors by maintaining current employee and department directories and communicating appropriate instructions and procedures.
  • Coordinates the maintenance and publication of Board policies and administrative procedures by ensuring documents are finalized, accessible, and posted in accordance with approved processes.
  • Maintains confidentiality of student, employee, and district information by adhering to applicable laws, regulations, and Board policies regarding privacy and records management.
