Purchasing Coordinator

Holland & Sherry Interiors is a trade-focused company offering high-end products for interior design projects including fabrics, wallcovering, lighting, furniture and rugs. We are seeking a highly organized and detail-oriented Purchasing Coordinator to manage the purchasing operations for our wholesale suppliers and customer service. This role serves as a direct contact for suppliers and wholesale clients. The ideal candidate will have strong communication skills, a proactive mindset, and the ability to manage multiple tasks on a daily, weekly, and monthly basis.

Key Responsibilities:

With suppliers:

  • Send purchase orders to suppliers in accordance with company policies.
  • Monitor and follow up on supplier orders and shipping status.
  • Communicate with suppliers to resolve order-related issues.
  • Track and troubleshoot shipments, delays, and returns.
  • Review and confirm accuracy of supplier invoices; submit invoices internally to the accounting department and track remittances.
  • Review shipping reports from key suppliers to ensure accuracy.
  • Audit order activity to identify trends or recurring issues.
  • Provide purchasing and shipping summaries to stakeholders as needed.
  • Create and maintain details for existing and new product codes.
  • Assist communications and support for other categories of the purchasing department.

With clients:

  • Complete daily client order and quote entry
  • Communicate with clients daily for projected and confirmed orders, and update reporting procedures weekly with production timelines
  • Follow-up with clients about their account balances and on-time payments
  • Coordinate with clients to review pending and in-transit orders.
  • Update pricing as needed in accordance with contract agreements
Qualifications:
  • 2+ years of experience in purchasing, supply chain, or operations (textile or home industry experience preferred).
  • Excellent communication and follow-up skills.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and familiarity with order management systems.
  • Ability to manage shifting priorities and work collaboratively across teams.
