Accounts Payable Manager

Location: Hunt Valley

Role Summary

The Accounts Payable Manager oversees the full payment process, ensuring invoices are accurate, payments are made on time, and financial controls are followed to protect company assets and maintain strong vendor relationships.

Key Responsibilities

1. Accounts Payable Process Management

• Oversee invoice processing, coding, and entry
• Ensure proper match between purchase orders, receipts, and invoices (three-way match)
• Resolve invoice discrepancies with vendors

2. Financial Controls & Security

• Maintain strong internal controls to prevent errors and fraud
• Review vendor records for accuracy and duplicates
• Ensure proper approvals are in place for all payments
• Manage secure payment methods (ACH, wire, check)

3. Cash Flow & Reporting

• Monitor outstanding payables and prioritize payments
• Support cash flow planning and forecasting
• Assist with month-end close and reconciliations

4. Vendor Management

• Maintain positive vendor relationships
• Support negotiation of payment terms and discounts
• Ensure timely payments to protect company credit

5. Compliance & Tax

• Manage 1099 reporting and W-9 collection
• Ensure proper handling of sales and use tax

6. Team & Systems Management

• Lead and develop AP staff
• Improve processes and optimize accounting systems (e.g., Navision)
