Administrative Specialist II
The Social Services Office – Office of Eligibility and Support Services (OESS) is seeking an experienced, organized, and detail-oriented term Administrative Specialist II to support our fiscal and budget operations. This position supports financial operations, ensuring efficiency and compliance with Federal, State, and County funds. In this role, you will oversee budgeting processes, manage fiscal records, and provide administrative support to maintain smooth financial workflows.
Core responsibilities of this position will include, but will not be limited to:
- Assisting in budget planning, forecasting, and financial reporting.
- Maintaining accurate financial records and documentation.
- Processing invoices, purchase orders, and expense reports.
- Monitoring expenditures and ensuring compliance with budgetary guidelines.
- Preparing financial summaries and reports for management review.
- Supporting audits and financial reviews by gathering necessary documentation.
- Coordinating administrative tasks related to fiscal operations.
- Communicating with vendors, departments, and stakeholders regarding financial matters.
If selected for this position, you will be required to file a Financial Disclosure Statement within 15 days of beginning your new position. The Financial Disclosure Statements require the filer to identify real estate interests, equity interests, and other relationships such as employment, debts, and gifts so that the public can be assured that the impartiality and independent judgement of those officials and employees will be maintained.
Telework:
This position may be eligible for limited hybrid telework after the initial training period.
Education:
Graduation from an accredited college or university with a bachelor's degree.
Experience:
Two (2) years of professional administrative experience in budget development or budget management.
Substitutions:
EXPERIENCE:
Additional education will substitute for the required experience on a year-for-year basis.
EDUCATION:
Additional administrative, business, research and/or clerical experience will substitute for the required education on a year-for year basis.
Equivalency:
An equivalent combination of education and experience may be substituted.
Medical Protocol:
This position requires completion of a pre-employment Medical History Form to assess your ability to safely perform the essential duties of the role.
Financial Disclosure Statement:
This position is designated as one that requires filing a Financial Disclosure Statement and you will be required to disclose information about your financial affairs.
The applications of those individuals meeting the minimum qualifications will be reviewed to determine the extent, relevancy of training, and experience in the following areas:
- Knowledge of County, State, or Federal budget or fiscal processes.
- Experience supporting budget development, forecasting, or financial reporting.
- Experience preparing and maintaining financial records, reconciliations, or expenditure tracking.
- Experience processing purchase orders, invoices, and expense reports using financial or procurement systems.
- Experience communicating with vendors, departments, or stakeholders regarding fiscal matters.
- Experience working with Excel or financial management tools.
