Compensation: $19-21 / hourly

Position Summary:

The Sales Coordinator provides clerical work pertaining to the Sales and Catering Dept. – including building and assigning inquiries in the sales system; creating files in the turnover process; putting together banquet event order and 10‑day report packets; and creating the sales schedule weekly. Daily duties include answering telephones, emails and email RFP's, questions, and direct calls to the appropriate person or take messages.

• Assist clients with guest room blocks or meeting room rental space
• Setting up and maintaining files; keep all files in an organized format
• Clerical work pertaining to the Sales and Catering Dept. – including creating files in the turnover process; putting together banquet event order and 10‑day report packets; and creating the sales schedule
• Answering telephones, emails and email RFP's, questions, and direct calls to the appropriate person or take messages
• Provide information on hotel; give site inspections
• Ability to show guest rooms; includes knocking, opening and preparing room (lights, air conditioner, radio)
• During the booking turnover process: distribute appropriate information both internally and externally
• Take weekly meeting minutes and distribute accordingly
• Create Monthly tracking forms and distribute
• Acknowledge all guests and respond promptly to their needs, however busy and whatever time of day
• Assist sales team with amenity forms and guest thank you letters, as needed
• Ensure unresolved incidents are reported to Manager/Supervisor

Familiarity with all hotel services/features and local attractions/activities to respond to guest inquiries accurately

• Contribute to the team's success by accomplishing tasks and assisting with projects as needed
• Maintain knowledge and compliance with departmental policies, service procedures, and standards
• Availability during peak operating times, i.e.:
  Weekends, Holidays and Special Events
• Work as a team member to ensure our guests have the best possible experience
• Understand company's emergency procedures and be able to apply them when necessary
• Report any incidents, property damage or injuries immediately to Manager/Supervisor
• Attend department meetings and training sessions as necessary
• Perform various other duties as assigned by Manager and/or Supervisor

• High School Diploma or equivalent required
• 1-2 years of hotel experience preferred
• Sales and/or catering experience helpful

• Should be able to type at least 35 wpm
• Excellent written and verbal communication skills
• Compute basic arithmetic and mathematical calculations
• Organized and detail oriented
• Excellent interpersonal skills
• Ability to work effectively in stressful, high‑pressure situations while maintaining composure and guest satisfaction
• Technical knowledgeable and competency in necessary systems and software:
  Outlook, Word, Excel, Delphi, etc.
