The Prince George’s County Fire and Emergency Medical Services (EMS) Department is seeking an Administrative Manager (Administrative Specialist 1G), grade G29, to serve in the Office of the Fire Chief.

About the Position

This professional management level administrative generalist position involves overseeing administrative and executive secretarial functions for a major county program. The incumbent reports directly to County Executive, Council Administrator, County Council Chairman, and Department Head. Duties include coordinating overall office activities, providing secretarial support to an independent board or commission, managing assignments beyond established procedures, exercising independent judgment, supervising staff, improving office efficiency, and engaging with diverse county contacts.

Responsibilities
  • Perform executive level secretarial/administrative duties in support of the Fire Chief and the Executive Officer to the Fire Chief (Assistant Fire Chief).
  • Assist management in identifying and resolving problems related to financial, personnel, and material requirements.
  • Assist in developing budget estimates and justifications; ensure that funding is used in accordance with operating budgets.
  • Counsel management in developing and monitoring sound organizational structures, improving management methods and procedures, and ensuring effective use of human resources, monies, and materials.
  • Collaborate with personnel representatives to resolve management problems resulting from changes in work that significantly impact jobs and employees.
  • Act as liaison between supervisor and other departmental employees.
  • Attend meetings, hearings, and conferences; take notes and prepare minutes and summaries.
  • Serve as special project coordinator of various county programs or projects; evaluate alternatives and recommend optimum solutions to management.
  • Serve as county representative to local, state, and federal task forces and committees, characterizing and defending the county’s interests.
  • Prepare and present briefings to senior management officials.
  • Willingly and cooperatively perform tasks and duties not specifically listed in the class specification or position description but within the general occupational category and responsibility level of the employee’s class of work.
Minimum Qualifications
  • Master’s Degree from an accredited college or university in Business Administration, Public Administration, or a closely related field.
  • Two (2) years of progressively responsible executive level secretarial/administrative experience supporting an executive or department head, working with the public and office management.

Applicants may also qualify with an equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

Preferred Qualifications
  • Five (5) years of prior experience supporting senior leadership, preferably in a public safety or government environment.
  • Five (5) years of demonstrated ability to draft executive correspondence, briefing documents, talking points, and formal departmental communications.
  • Five (5) years of demonstrated ability to manage sensitive personnel, operational, and compliance information.
  • Ten (10) years of proficiency in Microsoft Office Suite, SharePoint, scheduling platforms, and workflow tools.
  • Five (5) years of proven executive-level capability to professionally represent the Office of the Fire Chief in both intra-agency and external stakeholder interactions.
  • Five (5) years of proven ability to manage competing priorities in a fast‑paced command environment.
