Job Summary:

The Fleet Systems & Compliance Specialist is responsible for maintaining and optimizing fleet management software to ensure accurate data flow, system reliability, and effective utilization across operations. This role supports driver compliance efforts by monitoring Hours of Service (HOS), safety event performance, and adherence to federal and state regulations. The specialist regularly analyzes fleet repair orders and maintenance trends to ensure maintenance compliance and improve fleet reliability.

In addition, the position provides support to local management with transportation‑related needs, including reporting, troubleshooting system issues, data entry, coordinating with vendors, and training employees. This role serves as a key liaison between drivers, maintenance teams, and leadership to promote safe, efficient, and compliant fleet operations.

Key Responsibilities:

  • Fleet Management Software
    • Maintain the fleet management software, ensuring its optimal performance and alignment with operational needs.
    • Troubleshoot and resolve software issues in collaboration with IT support.
  • Administrative Fleet Operations
    • Assist regional teams with maintenance planning and scheduling to ensure timely vehicle servicing.
    • Conduct data entry tasks to maintain accurate records related to maintenance, fuel usage, and other fleet metrics.
    • Maintain documentation processes, ensuring all necessary records are complete and properly filed.
  • Fuel Program Oversight
    • Support the administration of the fuel program, monitoring fuel usage and expenses while ensuring compliance with company policies.
  • Compliance and Issue Tracking
    • Monitor and report on compliance with regulatory requirements and internal policies pertaining to fleet operations.
    • Track and document maintenance issues, providing timely updates and resolutions.
  • Reporting and Data Analysis
    • Generate regular and ad-­hoc reports on fleet performance, maintenance activities, and compliance metrics for management review.
    • Analyze data trends to identify opportunities for improvement within fleet operations.
    • Review and categorize Repair Orders submitted to the Fleet Management platform for service compliance.
  • Process Optimization
    • Regularly review and evaluate maintenance processes, recommending enhancements to improve operational efficiency and effectiveness.
    • Regularly review Telematics platform for efficiency and effectiveness and develop strategies to improve driver safety and compliance.
    • Collaborate with regional teams to implement best practices and ensure continuous improvement in fleet management.

Qualifications
:

  • Minimum High School Diploma or equivalent (GED) required.
  • Ability to learn maintenance and compliance tracking systems.
  • Basic understanding of heavy trucks, trailers, equipment, and rebuilding equipment.
  • Basic understanding of commercial driver regulations.
  • Must have computer skills and experience with Word & Excel.
