Quality Financial Concepts of Maryville, TN has an immediate opening for a full-time Administrative Assistant to join our team. Quality Financial Concepts, in business for over 40 years, is a full-service financial advisory firm providing retirement planning, investment management, estate planning, tax services, and insurance protection. The Administrative Assistant is responsible for providing exceptional support to our executives in a fast-paced environment to ensure company goals and objectives are accomplished and operations run efficiently.
Demonstrating a pro-active mindset is crucial. Excellent written and verbal communication skills, attention to detail, the ability to maintain confidentiality, and a friendly and professional appearance and demeanor are your greatest assets as you complete your daily tasks.
- An exceptional and professional first impression to all our guests, including grammar, attire, and mindset.
- Responsible for annual tax communications with clients, receiving payments, updating spreadsheets, copying tax documents, and processing completed returns.
- Assist in marketing efforts through social media, website and local publications.
- Prioritizing projects and task deadlines, ensuring timely completion.
- Prioritizing phone calls, emails, and other communications and responding appropriately.
- Writing, editing, and preparing correspondence, process training, and other company documents.
- Managing diverse correspondence and materials for successful compliance documentation.
- Assist in securing and supervising vendors when on-site to service building or equipment.
- High school diploma or equivalent and minimum of 2 years professional office experience.
- EXTREME attention to detail, positive, can-do attitude, and willingness to work as a team.
- Strong organizational and time-management skills for tracking deadlines and calendars.
- Excellent written and verbal communication skills.
- High degree of flexibility to deal with a variety of situations.
- The ability to multitask and follow up is necessary.
- Must be able to pass background check and fingerprinting.
- Strong technology and computer skills including MS Office Suite (Word, Excel, Outlook, Publisher).
This position pays a competitive salary based on experience.
