PAYThe expected hiring range for this position is from $20.39‑23.99/hour plus additional bonus opportunity. The stated hiring range is based on experience, qualifications, and other relevant factors. Final compensation decisions will take into account a variety of considerations, including individual skills, internal equity, and organizational needs.
Job SummaryThe Title Coordinator is responsible for applying for titles and securing 1st lien position for lenders with the Department of Motor Vehicles. The Title Coordinator is responsible for titling in several different states and following up with Home Centers for documents needed. They must be able to complete a large volume of work within limited time frames, while maintaining a high degree of accuracy.
JobFunctions Title Processing & Compliance
- Understand and apply different titling procedures for new, used, and repossessed homes based on state‑specific requirements.
- Focus on one large state and a small state (e.g., TX & NC) or multiple states of comparable size.
- Review and prepare closing documentation from queue using Helix system.
- Track down missing paperwork.
- Fill in blanks, obtain missing information, confirm individual and notary signatures, image documents, key process for each transaction for Fed Ex, etc.
- Communicate with home centers, VMF, third party loan providers, and/or other title companies via email or phone to gather information.
- Ensure state fees match correctly to avoid the paperwork being rejected and check being voided; if this happens, find out correct fee and submit new check.
- Verify state‑specific identification requirements and ensure documentation meets compliance standards.
- Read and interpret Legal Probate documentation (e.g. wills, affidavits) to confirm authority to sign for deceased parties; varies by state.
- Analyze trust documents to determine proper titling procedures based on state regulations.
- Handle business titling by verifying necessary documents like federal , authorization letters, and state business licenses.
- Identify electronic lien transfer (ELT) states, obtain ELT numbers, and guide lenders through ELT registration processes.
- Follow state requirements for repossession title process and identify when the situation requires transferring ownership vs when a POA can be used to transfer ownership.
- Maintain strict adherence to compliance timelines with strong attention to detail and time management.
- Use multiple state platforms (ALVIN, VINTEK, MHODS, Helix, Apps 2.0, Oracle, CSC) to retrieve titling documentation.
- Coordinators must key invoices to pay title fees for their assigned states; can be expected to key 20-60 separate invoices.
- Responsible for notarizing documents for other team members; can be expected to notarize anywhere from 20–40 documents per day.
- Retrieve Manufacturer’s Certificates of Origin (MCOs) from the Inventory team.
- Draft error affidavits and statements of fact as needed to support title work.
