Multi-faceted position providing support to accounting and office management. Assist Project Accountant and Project Managers with accounts payable processing, as well as office administh general office and clerical support.
Key Responsibilities (What You’ll Do)AP Support
- Assist Project Accountant with check runs, distribution, and lien waivers
- Obtain W9s from all new vendors and COIs from subcontractors.
- Request new COIs as needed.
- Assist with lien waiver tracking. Manage Docu Sign correspondence around lien waivers.
- Assist with credit card reconciliation as needed.
- Bank deposits if necessary
Ensure common areas (reception, conference rooms, kitchen) are clean and well-stocked. Greet clients and visitors warmly, offering refreshments and making them feel welcomed.
- Prepares work space for new hires according to new hire checklist
- Responsible for ordering and delivery of food if requested
Support marketing efforts, draft and update company bios & resumes
Phone and Reception ManagementAnswer and direct incoming phone calls professionally, screen calls for the leadership team, and ensure visitors are greeted and assisted promptly (when in the office).
Mail and Package HandlingManage incoming mail and packages, distribute them promptly to team members, and handle postage meter funds and mailing labels.
Special ProjectsProvide administrative and project support for various company initiatives and special projects as assigned.
