Community Kitchen - Administrative & Kitchen Support Specialist
Part-time position available with the Community Kitchen, a non-profit entity in Mason City, Iowa. Duties include administrative office support; kitchen support; and providing excellent support to clients, staff, and community partners for multiple programs. Applicants must be 18 years of age or older.
Starting rate of pay is $16.00 to $18.00 per hour depending on qualifications. This is a position with Community Kitchen, not Cerro Gordo County.
- Part-time – typically Monday through Friday, 5 hours/day, 25 hours/week
- Schedule - typically 8:30 am to 1:30 pm unless providing time-off coverage for other employees
- Occasionally required to work evenings and Saturday when providing time-off coverage for others
- Occasionally required to work weekday holidays to cover office needs for the Meals on Wheels program, which delivers on all weekday holidays. Will be paid for hours worked plus receive a paid floating holiday to be used at a later date

- Job Summary
Reports to the Executive Director and is responsible for providing administrative support; maintaining an efficient operation of the office; providing support to clients, staff, and community partners for multiple programs; and helping to provide time-off coverage and overflow duties for the Kitchen Coordinator, Kitchen Lead, and Director as needed.
Duties and Responsibilities Office Support- Administration;
- Answers phone and email
- Handles correspondence in a timely and professional manner
- Data entry and record keeping
- Filing physical and electronic documents
- Completes daily reporting and other tasks
- Ensures all paperwork, reports, memos, invoices, tabulations, letters, acknowledgements, etc. are completed and filed in a timely manner
- Occasionally runs errands to/from post office, CPA, meal delivery, etc
- Acts in a professional manner reflecting the mission of The Community Kitchen and of Meals on Wheels of Mason Cit
- Maintains a peaceful environment in the office and facility
- Other clerical and administration tasks as directed
- Creates invoices and statements in Quick Books
- Records payments from customers, MCOs, and other payors in Quick Books and other professional software including Microsoft
- Communicates with customers, MCOs, and other payors regarding billing and/or payment issues
- Records donations and other payments
- Creates thank you letters and other acknowledgments for donations
- Reviews invoices, donations, and deposits and prepares them for the contracted CPA
- Helps schedule volunteer groups and individuals by communicating with volunteers and preparing monthly and yearly volunteer calendar
- Confirms volunteer commitments via email, phone, and mail
- Communicates with clients for multiple programs via phone, email, etc
- Keeps record of all client communication
- Acts in a professional manner
- Works with clients to sign them up for programs by answering questions and completing new client forms
- Updates existing client information as needed
- Enters client information into Management Information System, Quick Books, Microsoft Office documents, and/or Google Workspace documents; ensuring accuracy of information
- Provides time-off coverage and overflow duties for kitchen employees including the Kitchen Coordinator and Kitchen Lead
- Complies with Federal, State, and local rules and regulations regarding food safety and quality standards.
- Demonstrates knowledge of food sanitation by correctly answering questions, completion of an approved food safety course, and by actions
- Prepare and serve the weekday lunch meal, the evening meal, and/or the Saturday lunch meal
- Oversears volunteers, which change for each meal service
- Adheres to all Community Kitchen Policy and Procedures including those related to:
- Food preparation and safety
- Cleanliness of facility
- Setup of kitchen and dining area
