Shipping Specialist

The Shipping Specialist creates shipping labels, monitors, and tracks customer orders to ensure orders are shipped to meet established delivery timelines. They are responsible for overseeing and managing the entire shipping process to ensure timely and accurate delivery of goods. This role involves coordinating with various departments, handling shipping documentation, and maintaining records of all shipments, while maintaining a presence in the warehouse to monitor any special orders.

The Shipping Coordinator is expected to be present at the beginning and end of each day to complete timed shipping operations.

• Receive, process, and submit orders for standard GIS items with existing customers.
• Verify customer and order information for correctness ensuring the required data, item pricing and details are included for efficient and timely processing of the order.
• Inform customers by email or phone of order status updates, shipping dates, and any anticipated delays.
• Creates shipping labels through UPS World Ship, Fed Ex or internal ERP system according to customer preference for carrier and shipping speed. (PAC, Sales Orders, and Project shipments)
• Schedules pickups and deliveries through local courier services.
• Collaborates with Print, Production, Shipping and Customer Service Representatives to ensure orders are shipped correctly and efficiently (address, speed, box weights, etc.)
• Tracks and provides status updates for rush orders to ensure the order is shipped in a timely manner
• Consistently monitors shipping rack, shipping notifications, and shared shipping inboxes as orders are marked “Ready to Ship”
• Reships product returns and updates tracking systems. Communicates with customer service to advise of return and to ascertain next course of action.
• Perform Shipping beginning of day and end of day activities (UPS World Ship)

• High School Diploma or equivalent
• Some Customer Service experience
• Strong interpersonal skills to work efficiently as a team and interact with customers.
• Customer service and communication skills.
• Effective problem-solving skills with a tenacity to solve and prevent future issues.
