At West Brookfield Dental, the Patient Coordinator is more than a front desk role — you are the first impression and a key part of creating a calm, welcoming experience that helps patients feel comfortable from the moment they walk in. Schedule:
Full-time – 5 days per week:
Monday – Thursday 7am – 5pm and Friday 9am – 4pm
This is an opportunity to step into a well-run, team-oriented practice where your role is essential to both the patient experience and the success of the office.
Responsibilities- Create a welcoming, high-energy environment by greeting patients and setting the tone for an exceptional visit
- Keep the day running seamlessly by managing the schedule, minimizing wait times, and proactively solving issues as they arise
- Serve as the connection point between patients and the clinical team, ensuring smooth handoffs and clear communication
- Support patients through their visit — from check-in to check-out — including scheduling next appointments and collecting payments
- Present treatment plans, explain insurance coverage, and discuss financial options with confidence and accuracy
- Stay ahead of the schedule by confirming appointments, verifying insurance, and following up on missed or late arrivals
- Maintain accurate patient records and ensure all processes align with HIPAA standards
- Contribute to a clean, organized, and professional front office environment
- Support the team with onboarding, training, and day-to-day office operations
- Perform other duties and responsibilities as assigned by management

- Previous experience in a dental office setting is preferred
- Hands‑on experience verifying insurance and a strong understanding of coverage, benefits, and patient responsibility is highly desired
- Proven ability to manage a busy schedule and multitask in a fast-paced environment
- Strong communication skills with the ability to confidently speak with patients about treatment and finances
- High attention to detail and accuracy in handling patient information and payments
- Professional presence with a positive, team-oriented mindset that provides exceptional customer service to all our patients
- Comfort using practice management software and standard office tools
