Administrative Support Role at Brigham and Women's Hospital

The Division of Breast Surgery at Brigham and Women's Hospital (BWH) delivers comprehensive care for patients with a wide range of breast concerns, from benign conditions to breast cancer. In this administrative support role, you would help ensure that our busy outpatient clinics and surgical services run smoothly across multiple locations in Boston and southeastern Massachusetts. Your responsibilities would include coordinating patient appointments, supporting providers with scheduling and documentation, managing communication between patients and clinical teams, and helping maintain an organized, efficient workflow.

You would play a key part in creating a positive, seamless experience for patients as they move through their care.

Performs administrative functions to support smooth and efficient clinical service and practice operations. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level). Make patient appointments and maintain appointment records. Assist callers with routine inquiries and triage matters appropriately. Process patient billing forms and scan documents to patient medical record (EPIC).

Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results. Additional responsibilities as assigned.

Education:

High School Diploma or Equivalent required

Experience:

3-5 years office experience required

Knowledge, Skills and Abilities:

Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint. Knowledge of office operations and standards and understanding of office procedures, including filing, copying, scanning, printing, and faxing. Ability to use the phone system, manage more non-routine phone calls, and solve routine issues as appropriate. Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.

Understanding written sentences and paragraphs in work-related documents, corresponding and communicating with others clearly and effectively (including composing/editing e-mails, memos, and letters), and taking complete and accurate messages. Managing one's own time and the time of others. Well-organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems. Ability to proofread and edit written documents.
