Job Title: Front Office & Intake Support Specialist

Program: Island Counseling Center

Classification: Non-Exempt – 24 hours per week

Compensation: $24.00 – $26.00 per hour

Reports To: Practice Manager

Job Summary

The Front Office & Intake Support Specialist serves as the first point of contact for individuals seeking mental health and behavioral health services. This role combines front desk responsibilities with intake coordination and outreach support. Key tasks include greeting clients, managing phone and appointment schedules, assisting with intake processes, and ensuring timely connections to services. The ideal candidate is compassionate, organized, and communicates effectively.

This position includes afternoon, evening (4–8 PM), and occasional Saturday hours.

Key Responsibilities
  • Welcome clients and visitors in a warm, professional manner.
  • Answer and direct phone calls and respond to general inquiries.
  • Schedule, confirm, and adjust appointments as needed.
  • Collect and verify client forms and documentation.
  • Keep the front desk and waiting area clean and organized.
  • Follow up on new referrals and assist with outreach efforts.
  • Ensure all required intake forms are collected and uploaded to client charts.
  • Reach out to individuals awaiting engagement in services.
  • Assist program staff with coordination and communication for the New Paths program.
  • Prepare and support clients in completing required documentation.
  • Follow up with clients enrolled in the program to support ongoing engagement.
  • Help with scheduling, documentation, and administrative tasks related to New Paths.
  • Explain available services and treatment options to clients.
  • Maintain accurate records of client interactions and referrals.
Qualifications
  • Previous experience in outreach, case management, or related roles within the behavioral health field.
  • Knowledge of mental health disorders, treatment modalities, and community resources.
  • Strong interpersonal skills with the ability to establish rapport and build trust with diverse populations.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team in a fast‑paced environment.
  • Proficient in using computer systems and software for documentation and reporting.
  • Bilingual (Brazilian Portuguese/English) and/or certification as a Recovery Coach an asset.
