General Summary:

Working with minimal supervision, the Special Education Compliance Administrative Assistant performs a wide range of responsible administrative duties requiring accuracy, sound judgment, discretion, and confidentiality. The position requires the ability to manage multiple priorities, work effectively under pressure, and interact professionally with staff, families, and other stakeholders. The Administrative Assistant coordinates and supports activities essential to the efficient, effective, and responsive operation of the department.

Specific Duties (may include):

  • Process all IEP Folders, including mailing relevant IEP forms, providing appropriate documents to the Admin Assistant (e.g., translations and ESY forms), and filing;
  • Process IEP responses via Docu Sign or paper (e.g., scan response pages into Aspen, file signed IEP, notify staff of accepted IEPs, and process partial rejections/rejections);
  • Track unsigned IEPs and resend at 30, 60, and 90 day intervals;
  • Coordinate with building administrators to develop and monitor progress report schedule and open portal for staff access;
  • Collaborate with the Data office to provide Aspen and Docu Sign support to Team Chairs, Evaluation Team Secretaries, and Special Education staff on how to claim students, complete progress reports, and add providers to IEP's. etc;
  • Collect data and provide regular feedback to Special Ed Admin regarding IEP compliance;
  • Other duties as assigned by the Executive Director of Student Services or designee.

Qualifications:

  • High School Diploma;
  • Associate Degree or higher, preferred
  • Minimum five years' experience as a secretary, preferred
  • Strong clerical skills including note-taking, typing, and ability to transcribe with accuracy
  • Ability to utilize productivity tools such as Google Suite, Microsoft Office, student information management system (i.e., Aspen), and other required software platforms

Fair Labor Standards Act (FLSA) Classification:

This position is classified as Non-Exempt.

Terms of Employment:

Employment is specified under the provisions of the Weymouth Educators Association (WEA) Unit D Collective Bargaining Agreement. Employment is based on the successful completion of a background check.
