Assistant to the Town Manager's Office

Part-time, up to 25 hours, $31.46 - $32.09 per hour.

The Town of Cohasset is seeking a highly organized, dependable, and service-oriented individual to serve as Assistant to the Town Manager’s Office. This part-time position provides administrative and operational support to the Town Manager’s Office and plays an important role in supporting Town departments, Boards and Committees, and the public.

The ideal candidate will have strong organizational and communication skills, excellent attention to detail, proficiency with Microsoft Office, and the ability to manage multiple priorities in a busy municipal environment.

Position Overview:Reporting to the Town Manager, the Assistant to the Town Manager’s Office provides day-to-day administrative support for the Town Manager’s Office. Responsibilities include preparing correspondence and meeting materials, maintaining accurate records and files, coordinating schedules and meeting spaces, supporting Boards and Committees, processing permits and incoming correspondence, answering phones, responding to public inquiries, and assisting with special projects.

This position requires a professional and customer-focused approach, discretion, accuracy, and the ability to work collaboratively with Town staff, elected and appointed officials, Boards and Committees, and members of the public.

Key Responsibilities:
  • Provide administrative and clerical support to the Town Manager’s Office.
  • Prepare and format correspondence, memoranda, public notices, meeting materials, and other documents.
  • Answer phones, direct calls, take messages, and respond to questions from residents, Town employees, and the public.
  • Assist with scheduling, calendar management, conference rooms, and meeting spaces.
  • Maintain organized and accurate departmental files and records.
  • Receive, date stamp, log, and distribute incoming mail and correspondence.
  • Assist with Board and Committee appointment processes, including notifications, correspondence, and public announcements.
  • Attend Board and Committee meetings as requested, take notes, and prepare meeting minutes.
  • Gather information and assist with Town projects, licenses, and other administrative matters.
  • Process wedding permits and beach parking permits for Sandy Beach and Bassing’s Beach.
  • Work collaboratively with the Communication and Community Engagement Specialist and Assistant to the Town Manager.
  • Provide professional and courteous customer service to residents, visitors, and Town employees.
  • Perform other related duties as assigned.
Qualifications:

Minimum Qualifications: High school education or equivalent. Excellent computer skills, including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Ability to follow standardized rules and procedures. Strong organizational skills and the ability to multitask in a fast-paced environment. Accuracy and attention to detail. Strong customer service, data entry, and typing skills.

Preferred Qualifications
:
Thorough knowledge of office practices and procedures. Working knowledge of municipal operations and functions. Experience in maintaining organized records and files. Demonstrated ability to prioritize tasks and manage multiple projects effectively.

Compensation & Benefits:This is a part-time, benefit-eligible position classified as Grade A2, with an hourly pay rate of $31.46- $32.09 hr ±. The Town of Cohasset offers a competitive salary commensurate with experience along with a comprehensive benefits package.
