Reporting to:
Guest Services Manager
Duty overview:
Hybrid role performing Bellhop, Desk Clerk, and Night Audit duties. Key tasks include greeting and registering guests, managing reservations, answering phone calls, processing check‑ins and check‑outs, handling luggage, providing room service, handling giftshop sales, and daily reporting.
- Welcome members and guests upon arrival and confirm reservations.
- Act as the point of contact for guests needing assistance or information.
- Be visible at all times.
- Answer telephone operating system.
- Greet all members and guests in a friendly and professional manner.
- Stay aware of daily information including arrivals, departures, activities, functions, and club operations.
- Assist guests with technology information and troubleshoot as required.
- Provide concierge services such as photocopies, faxes, websites, e‑mails, and other business center services.
- Accommodate general and unique requests.
- Maintain departmental communications: e‑mails, daily logs, no‑shows, early departures, late check‑outs, cancellations, and special requests.
- Complete daily AM & PM checklists.
- Ensure the reception desk is inventoried, organized, and stocked with necessary office supplies.
- Perform nightly audit including reconciling daily financial activity.
- Complete daily reports in accordance with policies and procedures.
- Print, e‑mail, and distribute all daily reports.
- Maintain a neat and orderly work area at all times.
- Provide members and guests with directions to and from the club and points of interest.
- Offer luggage storage in accordance with club policies.
- Assist in opening car doors for arriving members and guests and introduce them to the reception agent as required.
- Know all department heads and managers: names, titles, extensions, locations, and responsibilities.
- Know emergency procedures and be prepared to handle emergency situations.
- Set up and break down meeting rooms.
- Other related duties as assigned.
Experience:
Minimum three months in a private club or hospitality field. Customer service experience with strong written and verbal communication skills.
Skills:
Excellent administrative skills, teamwork and communication skills, customer service skills, time management. Adept with technology (verbal and written). Proficiency in English.
Effort:
Low. Walk and stand for extended periods; lift and carry up to 30 pounds.
Work conditions:
Indoors, air conditioning, variable schedule based on business demands.
