Position Summary

Provides administrative and programmatic support to the Head of Gallery Education in the development and delivery of gallery-based learning experiences. Core responsibilities include scheduling school, college and adult group tours, assigning volunteer educators (docents) to lead tours, and coordinating visit logistics with other departments to ensure a high-quality visitor experience; assists the School Specialist in planning, preparing and staffing Gallery Tour Enrichment Activities;

and tracks and shares participation statistics. Supports other initiatives within the Division of Learning and Engagement as needed. Reports to the Head of Gallery Education.

Major Duties and Responsibilities (Essential Functions)
  • Supports daily and long-term operations of the Gallery Education Program and special initiatives and projects in this program area.
  • Responds to inquiries from teachers and tour operations about the Clark’s facilities and programs (and those of other area cultural/tourist venues); schedules visits for all school and adult groups and works with other departments within the Clark to accommodate visitors with special interests or need.
  • Coordinates logistics for Gallery Education events with other departments in the museum.
  • Works with teachers and other group leaders to advise about logistical and content parameters of gallery tour and museum visit, including processing bus subsidies.
  • Maintains reservation system and other communications with teachers and tour group leaders, and other visitors.
  • Schedules docents, paid guides, and staff members to lead school and adult gallery tours that best match and utilize their skills, strengths, and interests.
  • Works with docents to help them understand teachers’/tour groups’ goals and support them administratively in their development of tours.
  • Attends docent training to stay current on program content and expectations.
  • Ability to fill in for a tour, assist with greeting groups as necessary.
  • Tracks and reports docent attendance, volunteer hours, and group feedback.
  • Assists with docent and Gallery Interpreter recruitment, training, and ongoing support, including use of docent portal;
  • Maintains and expands the docent portal, including new acquisition files, in collaboration with the registrar’s office;
  • Works with Head of Gallery Education and/or School Specialist to plan, order, prepare materials for, and to staff Gallery Tour Enrichment Activities and programming.
  • Assists Teacher Programs including communications, material prep and administrative processes.
  • Maintains, analyzes and shares program statistics.
  • Facilitates mailings and other communications for in-house marketing efforts for Gallery Education programs.
  • Orders office supplies and coordinates equipment maintenance.
  • Supports program budget processes, including maintaining budget spreadsheets.
  • Serves as the Gallery Education liaison on staff committees as needed.
  • This position is primarily an on-site position.
  • Other duties as assigned.
Minimum Qualifications Education, Training, and Skills
  • Bachelor’s degree preferred, or equivalent experience; experience, knowledge, and interest K – 12 education, museum education practices, and in art history preferred.
  • Strong communication, customer service, and organizational skills required.
  • The ideal candidate will understand how engaging with art connects people, expands perspectives, and promotes individual and social well‑being.
  • Valid driver’s license and access to vehicle preferred.
Work Experience
  • Minimum of 3 years of relevant experience preferred.

    • Ability to sit at a desk/workstation and use a computer for prolonged periods of time.

    Work will be performed in an office environment and museum spaces. The noise level in the work environment is usually low to moderate.
