Hospital Manager – Wachusett Animal Hospital and Pet Retreat

Position Overview

Join our team as a Hospital Manager who works daily to develop an efficient and effective hospital support team by fostering an environment of trust, teamwork, and accountability. The Hospital Manager partners with the Veterinarian to provide an efficient and profitable operation by driving revenue and managing costs while creating a hospital culture based on high‑quality patient care and excellent customer service.

Key Responsibilities

  • Supervise staff within all hospital support departments; achieve and maintain labor goals.
  • Hire and train office and technical clinic support staff; manage new‑hire paperwork.
  • Orient new clinic staff to the hospital and their duties.
  • Review work performance of direct reports, deliver constructive feedback, resolve personnel issues, and discuss outcomes with the Regional Manager weekly.
  • Conduct timely performance appraisals.
  • Document and report accidents; file appropriate reports.
  • Write policies/procedures related to all technical aspects of the hospital and present for approval.
  • Manage schedules for technical and administrative staff and coordinate the DVM.
  • Monitor Workforce Management for missed punches and manage overtime hours daily.
  • Administer daily operations.
  • Work with the Pet Vet Care Centers support team to ensure compliance with all administrative responsibilities.
  • Monitor budgets, purchase equipment and supplies, and oversee facility maintenance.
  • Submit contract veterinarian invoices, local vendor invoices, ensure invoice accuracy, and obtain vendor W9s.
  • Assist in resolving issues with pet owners where appropriate.
  • Review revenue, labor, and employee issues with Pet Vet leadership on weekly conference calls; achieve goals set in each area.
  • Maintain all local accounting functions and ensure daily financial information is accurate.
  • Oversee inventory management and maintain proper documentation and systems.
  • Establish and oversee billing practices; review and maintain billing accuracy.
  • Handle contracts and negotiations with insurance providers.
  • Maintain compliance of current licensure and display requirements, including updated licenses for DVMs.
  • Perform other duties and responsibilities as assigned by the Manager.

Qualifications (Required)

  • Bachelor’s degree in business, health science or related field strongly preferred.
  • At least five years of direct office management experience, including at least two years of supervisory experience.
  • Equivalent combination of education, certification, training, and/or experience may be considered.
  • Provide customer service in a courteous, prompt, and efficient manner.
  • Computer proficiency in Microsoft Office (Word, Outlook, Excel) and applicable organization‑specific software.
  • Establish and maintain productive and cooperative working relationships.
  • Active time management and organizational skills to complete work promptly.
  • Excellent oral and written communication skills.
  • Flexible scheduling; ability to work some weekends and holidays.
  • Capability to work with or around sick animals, potentially hazardous materials, cleaning chemicals, gas anesthetics, zoonotic diseases, and unpleasant odors.
  • Physical endurance: lifting or carrying moderately heavy animals (up to 50 pounds) and performing tasks involving standing, walking, climbing, balancing, stooping, kneeling, or crawling.
  • Other duties and responsibilities as assigned by management.

Preferred Skills (Nice to Have)

  • Certified Veterinary Practice Manager (CVPM) or Master of Healthcare Administration (MHA) preferred.
  • Strong analytical skills for financial analysis.
