Executive Assistant (CEO Support)
Vital Health | Full-Time | Maumee, OH

Vital Health is a growing behavioral health and primary care organization serving adults and children across Northwest Ohio. We are committed to providing compassionate, individualized care while changing the way people view mental health and substance use treatment.

We are seeking a highly organized, proactive, and dependable Executive & Administrative Assistant to directly support our CEO. This role is essential in helping manage priorities, streamline operations, and keep daily workflows running smoothly in a fast-paced, mission-driven environment.

This position offers strong growth potential for candidates interested in expanding into operations, project management, or leadership.

What You ll Do

Executive Support

  • Manage and maintain CEO calendar, scheduling, and priorities
  • Prepare meeting agendas, materials, and track follow-ups
  • Assist with email management and communication drafting

Communication & Coordination

  • Act as a liaison between the CEO, staff, and external partners
  • Coordinate meetings, events, and organizational initiatives
  • Ensure timely follow-up on key action items

Administrative & Operational Support

  • Maintain organized systems for documents and workflows
  • Support day-to-day administrative and operational needs
  • Manage supplies, purchases, and resource tracking

Financial Support

  • Track expenses, organize receipts, and assist with invoices
  • Coordinate with accounting resources as needed

Event & Project Coordination

  • Support planning and execution of meetings and events
  • Assist with project tracking and cross-department coordination

Process Improvement

  • Identify ways to improve efficiency and organization
  • Help build scalable systems as the company grows
What We're Looking For
  • 2+ years of experience in executive or administrative support
  • Strong organization and time management skills
  • Excellent written and verbal communication
  • Ability to multitask in a fast-paced environment
  • High level of professionalism and confidentiality
  • Proficiency in Google Workspace (Docs, Sheets, Calendar)
  • Healthcare or behavioral health experience is a plus
Schedule & Work Environment
  • Full-time, primarily in-person
  • Occasional off-site responsibilities (meetings, errands, events)
  • Schedule may vary based on organizational needs
