Professional, client-focused front desk and administrative support role
Cable Law, PLLC is a boutique law firm located in downtown McAlester, Oklahoma. The firm is primarily engaged in providing general counsel services for banks and businesses, business planning, business transactions, estate planning and probate, and real estate transactions.
We are seeking a polished, dependable Receptionist to serve as the first point of contact for clients, visitors, callers, attorneys, and staff in a professional law firm environment. This role supports smooth day-to-day office operations by managing reception duties, coordinating communications, maintaining calendars, scheduling appointments, screening calls, handling mail and deliveries, working a postage meter and assisting with administrative tasks while protecting client confidentiality.
Occasional trips to file documents and make deliveries to the Courthouse would be required.
- Greet clients and visitors warmly and direct them to the appropriate attorney, staff member, conference room, or office.
- Answer, screen, and route incoming calls professionally, taking accurate messages when needed.
- Schedule, confirm, and update appointments, meetings, consultations, and attorney calendars.
- Maintain a clean, organized, and welcoming reception area and shared front office spaces.
- Receive, sort, scan, and distribute mail, deliveries, client documents, and correspondence.
- Support office security by following visitor procedures and controlling access through the reception area.
- Assist with filing, copying, scanning, faxing, transcription, document preparation, and data entry.
- Process basic client payments, receipts, or billing-related paperwork as directed.
- Maintain office supply inventory and order front office supplies when needed.
- Handle confidential and time-sensitive client and case information with discretion, efficiency, timeliness and professionalism.
- High school diploma or equivalent required; additional training in office administration, legal studies, or a related field is a plus.
- Prior receptionist, front desk, administrative, customer service, or law office experience preferred.
- Professional appearance, courteous communication style, and strong client service mindset.
- Excellent verbal and written communication skills with the ability to relay messages clearly and accurately.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a busy office.
- Proficiency with Microsoft Office and standard office equipment such as phones, printers, scanners, and copiers.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive client information.
- Basic familiarity with legal terminology, case management systems, or billing procedures is helpful but not required.
- High school diploma or equivalent required.
- Associate degree, certificate, or coursework in office administration, business administration, paralegal studies, legal studies, or a related field preferred.
- Equivalent combination of education, training, and relevant office experience may be considered.
- Minimum of one year of receptionist, administrative assistant, customer service, or front desk experience preferred.
- Prior experience in a law firm, legal department, professional services office, or client-facing business environment is strongly preferred.
- Experience answering multi-line phones, greeting visitors, scheduling appointments, and handling confidential information is preferred.
- Proficiency and/or willingness to learn ; shipping and mailing software.
