What We WantThis position serves as the Administrative Coordinator I in the Office of Academic Affairs at Texas A&M College of Nursing, under general supervision of the Director of Faculty Affairs. The role functions as the receptionist for the College of Nursing and coordinates academic operating processes and activities for the BSN education program on the McAllen campus.
RequiredEducation and Experience
- Bachelor's degree or equivalent combination of education and experience.
- Two years of related experience in office administration.
- Associate's degree or higher.
- Five or more years of directly related experience in office administration.
- Three or more years in higher education.
- Effective oral and written communication.
- Positive, professional interaction with clients and staff.
- Proficiency with word processing, spreadsheet, and database applications.
- Strong written communication, analytical, interpersonal, and organizational skills.
- Event planning experience and effective organization of multiple projects.
- Logistics oversight and final detail management.
- Independent problem solving once a project is provided.
- Teamwork and collaboration skills.
- Ability to work in high‑stress environments.
- Handling of sensitive information with confidentiality.
Reception and Administrative Coordination Support Duties
- Serve as the primary point of contact; greet visitors, provide general information, and direct inquiries to appropriate personnel. Answer and route phone calls courteously and timely.
- Provide administrative support to the Senior Administrative Coordinator and assigned faculty members in McAllen.
- Assist with planning and execution of academic office operations, including scheduling, communications, and logistical coordination.
- Support class, classroom, and exam scheduling processes; aid in tracking student cohorts and academic planning logistics.
- Collect and maintain student and faculty outcome data for accreditation and compliance purposes.
- Help onboard and train student workers and support staff as needed.
Logistical and Administrative Duties
- Monitor office procedures for efficiency and compliance with administrative standards.
- Assist faculty with instructional materials, grant documentation, and preparation of promotion and tenure dossiers.
- Coordinate logistics for meetings, retreats, events, and special functions, providing planning and problem‑solving support.
- Schedule and coordinate meetings; record and distribute minutes; monitor completion of action items and committee tasks.
- Review documents for supervisor and perform special analyses and project summaries.
Database, Compliance, and Records Management Duties
- Maintain electronic and physical records per institutional policies; perform accurate data entry, retrieval, and quality checks.
- Prepare, proofread, and format documents for reports, presentations, and official publications.
- Support office compliance processes, including record retention and compliance material preparation.
- Contribute to planning and implementation of college‑wide initiatives and projects by analyzing requirements and coordinating with stakeholders.
- Collaborate with College of Nursing staff, faculty, and administrators to meet evolving program needs across multiple campuses.
Special Project Duties
- Assist with special projects and initiatives requiring cross‑functional coordination.
- Participate in committees or working groups as assigned.
