Administrative Coordinator I – College of Nursing (McAllen, TX)
Texas A&M University Health Science Center, College of Nursing, is seeking an Administrative Coordinator I to serve as the receptionist and coordinate academic operations for the BSN program on the McAllen campus under the guidance of the Director of Faculty Affairs.
Qualifications- Bachelor's degree or equivalent combination of education and experience.
- Two years of related office administration experience.
- Preferred:
Associate’s degree or higher. - Minimum five years of directly related office administration experience.
- Minimum three years of experience in higher education.
- Knowledge of Word processing, spreadsheet, and database applications.
- Excellent written and verbal communication, analytical, interpersonal, and organizational skills.
- Event planning and logistical coordination experience.
- Ability to manage multiple projects, solve problems independently, and maintain confidentiality.
Reception and Administrative Coordination
- Serve as primary point of contact, greet visitors, provide information, and route inquiries.
- Answer and route phone calls courteously and promptly.
- Provide administrative support to the Senior Administrative Coordinator and assigned faculty.
- Assist with planning and execution of academic office operations including scheduling, communications, and logistics.
- Support class, classroom, and exam scheduling; assist with student cohort tracking and academic planning logistics.
- Collect and maintain student and faculty outcome data for accreditation and compliance.
- Help onboard and train student workers and support staff as needed.
Logistical and Administrative Duties
- Monitor office procedures for efficiency and compliance with standards.
- Assist faculty with instructional materials, grant documentation, and promotion & tenure dossiers.
- Coordinate logistics for meetings, retreats, events, and special functions with planning and problem‑solving support.
- Schedule and coordinate meetings, record and distribute minutes, and monitor action items.
- Review documents for supervisor and perform special analyses and project summaries.
Database, Compliance and Records Management Duties
- Maintain electronic and physical records in accordance with institutional policies.
- Perform accurate data entry, retrieval, and quality checks.
- Prepare, proofread, and format documents for reports, presentations, and official publications.
- Support office compliance processes, including record retention and compliance material preparation.
- Contribute to college‑wide initiatives and projects by coordinating with stakeholders.
- Collaborate with College of Nursing staff, faculty, and administrators across campuses.
- Assist with special projects and initiatives, participate in committees or working groups.
