JOB SUMMARY The Loan Operations Specialist is responsible for supporting Loan Administration in the overall operations of the department. They support operational functions to include Loan Processing, Commercial Loan Servicing, Loan Administration Compliance, Loan Records Retention and Mortgage Servicing. The Loan Operations Specialist has knowledge of all systems functions, processes and procedures, and compliance requirements. They work closely with the leadership team to provide knowledge, data, and opinions to confidently make a departmental decision.
They are expected to assist with any departmental projects.
ESSENTIAL DUTIESThe duties listed below may not include all responsibilities that the person in this role may be asked to perform. Incumbent may be required to perform other related duties as assigned.
Develops a thorough understanding of all processes and procedures and collaborates effectively with other departments involved in the workflow.
Ensures assigned tasks are completed accurately and on time while maintaining a strong understanding of related processes and procedures.
Maintains proficiency in loan software applications, including Fiserv Premier, ACE, Laser Pro, Decision Pro, and Fiserv Director.
Coordinates, completes, and communicates necessary process and system changes.
Assists in maintaining and updating departmental procedures.
Partners with staff to maximize the use of software applications, streamline processes, and ensure accuracy and regulatory compliance.
Understands and supports ACE-related responsibilities, including loan assignments and loan processing activities.
Maintains knowledge of ACE Secondary Review requirements and assists with processing as needed.
Submits requests for ACE enhancements and system updates that improve efficiency and streamline loan workflows, while communicating changes and updates to staff.
Uses knowledge, skills, and sound judgment to assist with TMS approval responsibilities.
Supports audit requests by gathering required documentation and conducting thorough reviews before submission.
Provides administrative and operational support to management as needed.
Keeps management informed of workflow changes, process updates, and operational issues.
Implements and monitors special projects and requests as assigned.
Assists with daily interest rate change requirements within the core banking system.
Other duties as assigned.
QUALIFICATIONS These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position. The requirements listed below are representative of the knowledge, skill and/or ability required to perform the position in a satisfactory manner. Individual abilities and organizational limitations may result in some deviation from these guidelines.
Bachelor’s degree in Business or other related field required OR a combination of equivalent, relevant work experience along with a high school diploma or GED required.
3 – 5 years of prior banking experience in loan administration to ensure thorough knowledge of loan operations in production, servicing, and account.
Proficient computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
Excellent verbal, written, presentation and interpersonal communication skills.
Ability to work independently with minimal supervision while performing assigned duties.
Excellent analytical, time management, organizational and problem-solving skills with the ability to multi-task and work in a deadline-driven environment.
Must be self-motivated with strong initiative, high level of accountability, and attention to detail.
Ability to always maintain a high degree of ethical standards and complete confidentiality.
