Assistant Community Manager
The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. In this role, you will play a vital part in delinquency management and rent collection to optimize the site's cash flow and financial position. You will handle all phases of operations, including personnel, leasing, maintenance, financial, administration, and risk management in the absence of the Community Manager.
As an onsite leader, you will supervise all aspects of the property and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability standards.
- Post all payments and income received from applicants, current and non‑current residents accurately, promptly, and efficiently.
- Process and reconcile daily account receivables.
- Monitor and follow up on bad debt, including preparing late notices, contacting residents and guarantors, and filing evictions.
- Assist the property in meeting budgeted revenues, expenses, and Net Operating Income.
- Post all charges to resident and non‑current resident accounts, including bill‑back of utilities where applicable.
- Perform all end‑of‑month closing procedures and reporting.
- Maintain accurate and organized records; audit resident files to ensure accurate records.
- Walk units and post move‑out charges, statements, and security deposit refunds.
- Maintain regular/daily onsite attendance.
- Use consistent techniques and company directives to screen, hire, train, coach, and develop onsite staff.
- Ensure staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
- Promote harmony and quality job performance of staff through support and effective leadership.
- Ensure staff compliance and consistency with company policies and procedures.
- Implement leasing techniques to achieve closure, meet follow‑up procedures, sign and document leases, and maintain accurate reporting systems.
- Execute marketing strategies and systems as outlined in the annual marketing plan.
- Handle resident complaints, concerns, and requests to ensure resident satisfaction.
- Develop and implement resident retention programs (e.g., resident functions, special promotions, monthly newsletter).
- Effectively show, lease, and move in prospective residents.
- Manage excellent customer service and monitor service request turnaround and responsiveness of maintenance staff.
- Maintain property appearance and ensure repairs are completed on time, including regular property inspections and tours.
- Assist with supervision of all business functions related to operations.
- Plan for and utilize property resources, equipment, and supplies economically (e.g., obtaining bids/pricing from vendors, suppliers, contractors).
- High School Diploma or Equivalent; a Bachelor’s degree preferred or two years experience in the housing industry; or one to two years related experience and/or training; or an equivalent combination of education and experience.
- Ability to understand and perform all onsite software functions; basic computer skills required.
- Basic knowledge of Fair Housing Laws and OSHA requirements.
- Regularly required to remain in a stationary position, often standing or sitting for prolonged periods.
- Frequently required to move around to accomplish tasks or move from one worksite to another.
- Occasionally required to ascend/descend ladders, stairs, scaffolding, ramps, step stools, and similar equipment; move into different positions to accomplish tasks in various environments, including tight and confined spaces, overhead positions, and reaching or moving objects up to 25 lbs. Operate machinery or power tools, motor vehicles and/or golf carts, identify and inspect objects, work overtime, weekends, nights, in small and/or enclosed spaces, traverse flat and non‑flat terrain, work in extremely low or high temperatures, work outdoors in precipitation and wind, and be exposed to hazardous chemicals.
