Safety And Risk Unit Administrative Assistant

Provides comprehensive administrative support to the Safety and Risk Unit by maintaining training and compliance records, preparing correspondence and reports, managing calendars and schedules, coordinating meetings, and assisting with departmental programs and projects. Performs a variety of administrative duties to support the Unit's safety, security, emergency preparedness, and risk management functions, including document management, recordkeeping, procurement, and data entry. Assists with maintaining accurate records, coordinating communications, and providing responsive customer service to employees, vendors, insurance representatives, and other internal and external stakeholders while handling sensitive and confidential information with discretion.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Coordinates administrative operations for the Safety and Risk Unit, including processing purchase orders, tracking invoices, maintaining department records, and ordering office and safety-related supplies.
  • Assists with the coordination of safety meetings, emergency exercises, drills, committee meetings, and special events.
  • Provides comprehensive administrative support to the Safety and Risk Unit by scheduling meetings, maintaining calendars, coordinating travel arrangements, preparing correspondence, and supporting day-to-day departmental operations.
  • Provides administrative support for property and automobile insurance claims by coordinating claim documentation, collecting incident reports, photographs, estimates, and other supporting records, and facilitating communication with insurance carriers, claims adjusters, and internal departments.
  • Prepares reports, spreadsheets, presentations, meeting agendas, and meeting minutes for departmental meetings, committees, and executive staff.
  • Assists with compliance reporting by compiling information related to AWIA, Safe Dams, emergency preparedness, risk management, and other regulatory requirements.
  • Assists with the preparation of annual operating budgets each year including forecasting any capital outlay items needed.
  • Maintains electronic document management systems and ensures departmental policies, procedures, and forms remain current and properly archived.
  • Coordinates employee safety training by scheduling classes, tracking certifications, maintaining training records, and issuing certificates of completion.
  • Works with County Fire Marshall to schedule annual inspections.
  • Participates in the "APC" group (Admin Professional Committee).
  • Assists with maintaining emergency contact lists, call-out rosters, and resource inventories.
  • Supports the development, revision, formatting, maintenance, and distribution of Safety and Risk policies, procedures, standard operating procedures (SOPs), manuals, forms, and training materials to ensure accuracy, consistency, and regulatory compliance.
  • May be asked to assist coworkers in field work, including facility or job site inspections, accident investigations, traffic control, or other assignments.
  • Participates in Authority and Safety-sponsored events as needed, including assisting with planning, coordination, execution, and clean-up.
  • Assists with special projects and performs other duties as assigned in support of the Safety and Risk Unit.

Education and/or Experience: High school diploma or general education degree (GED); one to two years Administrative or related experience and/or training; or equivalent combination of education and experience.

Certificates/Licenses/Registrations: Valid Georgia Driver's License.
