Heartland is looking for an Operations Project Coordinator to join the operations team! We're an industry‑leading mobile device solutions integrator— we provide our clients with a portfolio of award‑winning products and services, and decades of experience simplifying and optimizing mobile work forces.
The Operations Project Coordinator plays a key role in supporting a wide range of project activities, maintaining accurate project documentation, and providing essential administrative and operational support to project teams.
In this role, you will help drive the success of projects across the operations department by ensuring initiatives move forward efficiently from kickoff through completion. This is a highly visible position that contributes to strategic initiatives, supports the development and execution of quality control practices, and helps improve operational processes.
Beyond core responsibilities, you will create reports, map project workflows, and support employee training on project management processes to promote consistency and efficiency across the organization.
What You’ll Do- Project Planning & Support
- Assist in developing project plans, goals, and objectives.
- Participate in project design meetings and propose improvements.
- Scheduling & Coordination
- Maintain project schedules, timelines, and milestones.
- Organize and schedule meetings, workshops, and review sessions, including agenda prep.
- Coordinate tasks, resources, and workflows across teams.
- Documentation & Reporting
- Manage and maintain project documentation including plans, budgets, timelines, and meeting minutes.
- Prepare and review proposals, memos, presentations, and progress reports.
- Track KPIs, deliverables, and expenditures.
- Communication & Stakeholder Management
- Serve as a communications hub between project managers, team members, clients, and vendors.
- Communicate updates, risks, delays, and project status to stakeholders.
- Direct project correspondence, including emails and meeting summaries.
- Risk & Issue Management
- Identify potential issues and contribute to risk‑mitigation strategies.
- Assist in resolving project‑related conflicts or delays.
- Administrative & Operational Support
- Manage procurement activities, vendor coordination, and resource allocation.
- Ensure compliance with organizational standards and project management processes.
- Proficient with Microsoft Office Suite
- Strong organizational and administrative skills, high attention to detail, strong interpersonal skills
- Excellent verbal and written communication skills
- Must be a self‑starter and able to deliver improving results and drive issue resolution in a team environment
- Organizational, time management and coordination skills across multiple disciplines
- Capable of building rapport, resolving conflicts, and fostering positive working relationships
- Ability to analyze project data, track progress, and identify trends
- Track record of delivering mission‑critical projects on time, within budget, and to applicable build, quality, and safety standards
- Ability to quickly learn and adapt to new technologies / software programs, and ability to adapt to changing requirements
- Experience with data visualization tools (e.g., Tableau, Power BI, Flow Charts)
- Experience with specific technologies or products relevant to the job
- Experience with project management methodologies may be valuable
- Relevant experience in a technical support role, customer success role, technical writing, or a related field is highly desirable
