Accounting Office Manager Job Description

The Huffines Accounting Office Manager is responsible for overseeing daily accounting operations at the dealership, including financial reporting and analysis, accounts payable and receivable, and compliance with financial regulations. This role requires strong leadership and communication skills, as well as a keen attention to detail and a deep understanding of financial accounting principles.

Job Responsibilities
  • Work with the finance/departments manager to analyze financial records to ensure dealership goals are met
  • Oversee and assist with general accounting procedures such as payables, receivables, and billing
  • Pay off floor units daily
  • Assist and ensure the month‑end processes are completed on time and accurately
  • Prepare and pay Vehicle Inventory Tax (VIT)
  • Calculate and prepare salespeople's commission sheets for payroll
  • Report sales and incentives with the manufacturer
  • Process cancellations and post-aftermarket billing statements
  • Reconcile floor plan and reserve statements
  • Post manufacturer invoices and reconcile statements
  • Post daily bank and credit card transactions and reconcile statements
  • Review schedules for accuracy and resolve all issues
  • Maintain compliance with accounting records
  • Keep the office organized at all times
  • Other duties as assigned
Accounting Office Manager

Job Requirements
  • Must have dealership experience; non-dealership applicants will not be considered
  • 5+ years of auto dealership office experience required
  • Proven experience in titles, taxes, payroll, accounts payable, accounts receivable, and related functions
  • Knowledge of automotive office work and responsibilities
  • Experience with Reynolds & Reynolds preferred
  • Working knowledge of Microsoft Office
  • Ability to work well with others, manage positively, train and assist with any duties needed
  • Excellent communication, interpersonal, and organizational skills
  • Prior supervisory experience in an automotive environment preferred but not required
  • Lead by example, be approachable, and coachable
