Job Description

The Clinic Administrative Assistant plays a key role in supporting our team and Clinic Management, tasked with assisting with administrative actions related to scheduling, operational resources, EMR, and communications support. This full-time role will provide direct ABA treatment as a Registered Behavior Technician (RBT) in session on a hybrid basis (25-75%), in balance with administrative support functions

Responsibilities
  • Provides administrative support to Management and Technicians
  • Supports daily procedures (Monday - Friday 8:00am-5:00pm) and occasional Saturday morning sessions
  • Assists with the daily schedule to ensure sufficient coverage and efficient operations
  • Performs administrative tasks including communications, invoices, reports, etc.
  • Updates records in EMR including patient information and timesheets
  • Supports treatment sessions as necessary
  • Performs office management tasks including maintaining records, and ordering supplies
  • Organizes and distributes supplies, materials, and equipment; maintains cleanliness of the clinic
  • Provides support to Clinic personnel during break coverages and transition periods
  • Contributes to a motivating therapy environment
  • Direct one-on-one naturalistic play-based therapy in-clinic
  • Implements specified programs/procedures
  • Communicates regularly and professionally with your Program Supervisor
  • Continuously develops your own job knowledge and advances your career
  • Availability during standard operating hours from Monday to Friday, 8:00am-5:00pm, and occasional Saturday from 9:00am - 1:00pm
Qualifications
  • Education: High school graduate or GED with administrative support experience
  • Availability: Monday - Friday 8:00 am to 5:00 pm + occasional Saturday sessions
  • Excellent verbal and written communication skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high-paced and at times stressful environment
  • Active RBT certification or willingness to obtain
  • Extremely proficient with Google Workspace, Microsoft Office Suite, and the ability to learn
  • Maintain empathy and promote positive teamwork and communication
