Stonebridge Ranch is a large‑scale, master‑planned community with a high standard of operational excellence and governance oversight. The Administrative Assistant plays a critical role in supporting executive and operational leadership by ensuring administrative execution, financial workflow accuracy, and governance follow‑through are handled with precision and accountability. This is not a clerical or entry‑level position. The Administrative Assistant is expected to operate with sound judgment, strong organizational discipline, and the ability to anticipate needs in a fast‑paced environment.
The role requires independent execution, proactive follow‑through, and consistent professionalism in support of the Assistant General Manager and General Manager. While the position is primarily administrative and operational in scope, limited front desk coverage is required to ensure continuity of service during scheduled breaks or unexpected absences.
- Manage day‑to‑day administrative operations and communications in a fast‑paced onsite management environment.
- Serve as a professional point of contact for homeowners regarding policies, procedures, and HOA‑related matters; elevate issues to the AGM when appropriate.
- Coordinate Accounts Receivable administrative workflows, including ownership transfers, lease registrations, account updates, and related documentation.
- Coordinate Accounts Payable administrative processes, including invoice intake, electronic filing, vendor onboarding (W‑9s, COIs), and submission for AGM review and approval.
- Process and deposit payments in accordance with established internal financial controls.
- Maintain accurate and organized homeowner files, contact lists, account records, and digital documentation across all management platforms.
- Maintain security binders, governance records, and file retention systems in an organized and audit‑ready condition.
- Ensure the homeowner portal is updated with monthly financials, annual documents, policies, and required communications.
