Position: Deputy County Clerk I - Scanner

Job Description

The Collin County Clerk is seeking individuals to fill the position of Deputy Clerk I. This position is responsible for the accurate scanning and indexing of documents related to land records, vital statistics and document preservation. Responsibilities include performing quality control on scanned images to ensure indexing is accurate and images are clear and legible.

This position will also provide back-up support to the reception desk by answering a high volume multi-line phone, routing callers to appropriate department, answering questions, assisting with mail‑outs for recorded marriage licenses and processing burial transit permits. In addition, this position will provide support as needed to the land recording section by preparing documents for scanning, indexing documents, arranging in numerical and batch order, checking notary seals, verifying signatures, stamping documents, recording and eRecording documents related to the land records department and performing financial duties by entering information into a records management system.

This position will also provide support as needed in the vital statistics section by verifying required information for the issuance of birth and death records to properly qualified applicants, issuing marriage licenses following state legislative requirements, recording Assumed Names and certifying beer and wine licenses following statutory requirements.

When on the front counter this position will be responsible for the accurate maintenance of a cash drawer, properly entering all receipts, accurate receipting of money, managing cash, check and credit/debit accounts, and correctly balancing at the end of each business day as well as compiling and distributing statistical data for review by the County Clerk. This position must obtain and uphold clearance status in the Texas Electronic Registrar database.

The candidate who fills this position must demonstrate a strong attention to detail in the daily performance of duties. Must maintain thorough knowledge of statutes, and policies and procedures of the vital statistics and land records sections. Must maintain strict confidentiality at all times. Performance of other duties as assigned.

Work requires strong knowledge of software applications including MS Windows 10 and Microsoft Office 2010 or higher with an emphasis on Excel. Must have the ability to perform advanced data entry and scanning functions with strong accuracy and attention to detail, and must have strong customer service skills. Must possess strong organizational and communication skills, and demonstrate ability to manage multiple tasks at the same time.

This position requires the ability to understand and properly follow all statutes which govern the vital statistics and land records sections. Knowledge of statutes governing these areas is highly preferred.

Ability to pass a criminal background check is required. Must have level of education equivalent to four years of high school or equivalency. Ability to type at the minimum rate of 35 words per minute is required; a minimum of 50 words per minute is highly preferred.

Testing Requirements

This position requires that you pass a typing test at the minimum rate specified above.

  • If you have taken a typing test with us within the last 6 months that meets or exceeds the requirements above, you do not need to take it again.
  • If you have never taken our typing test, have not met the requirements above, or it has been more than 6 months since your last test, you will need to take the test in order for your application to be complete.

Typing tests are administered in the Human Resources Testing room from 8:30am - 4:30pm, Monday through Friday. You do not need an appointment to test, but you will need to bring a government issued photo  you have any questions regarding the testing, please feel free to call 972‑548‑4606.
