JLL empowers you to shape a brighter way forward. As a Workplace Experience Coordinator, you will be the welcoming face of JLL's McLean, VA office while supporting the Workplace Management team. Your role combines exceptional customer service with hands‑on facility coordination, managing front‑of‑house operations, essential workplace services, and ensuring our office environment runs seamlessly. You will play a key part in creating a professional, efficient, and welcoming workplace for employees, clients, and visitors.
RoleResponsibilities
- Manage the main reception console, greeting guests with professionalism and providing exceptional customer service to all visitors, employees, and clients throughout the day.
- Oversee inbound and outbound mail, express packages, and messenger services, ensuring timely delivery and accurate tracking of all correspondence.
- Submit facility work orders to appropriate providers on a timely basis, track progress, monitor status, and report open issues to the Facility Management team to ensure resolution.
- Coordinate and schedule preventative maintenance activities, working closely with vendors and internal teams to minimize disruption to workplace operations.
- Provide comprehensive conference room support including room setup, technology and AV equipment coordination, catering orders, supply management, and post‑meeting cleanup.
- Manage conference room and AV equipment reservations using online management systems, assisting occupants with scheduling and resolving booking conflicts efficiently.
- Inventory, order, and stock kitchen and office supplies, ensuring adequate levels are maintained and managing vendor relationships for timely delivery and quality service.
- Process and file office invoices for approval, coordinate with vendors to correct discrepancies, and ensure accurate and timely payment processing.
- Support employee onboarding by preparing name signage, assigning access cards and phone extensions, creating emergency procedure documents, and assembling information packets for new hires.
- Participate in or lead emergency preparedness initiatives as part of the office emergency team, ensuring safety protocols are maintained and effectively communicated.
- Minimum of 2 years of administrative experience in an office environment with a demonstrated customer service focus.
- Exceptional customer service skills with proven ability to interact professionally with employees, clients, and visitors at all levels.
- Strong written and verbal communication skills with ability to communicate clearly, concisely, and professionally in all interactions.
- Demonstrated proficiency in managing multiple priorities simultaneously while maintaining attention to detail and meeting deadlines.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to learn and utilize workplace management systems and conference room booking platforms.
- Professional appearance and demeanor with ability to serve as the face of the organization at the front desk.
- Strong organizational skills with ability to work independently, exercise good business judgment, and respond effectively to both routine and urgent requests.
- Experience with facility work order systems, vendor coordination, or basic facility management operations.
- Familiarity with conference room management systems, AV equipment setup, and technology troubleshooting.
- Knowledge of invoice processing, vendor management, and basic accounts payable procedures.
- Previous experience supporting employee onboarding processes or HR administrative functions.
- Experience participating in emergency preparedness programs or serving as a floor warden.
- Background in hospitality, front desk management, or workplace services in a corporate environment.
Location:
McLean, VA (On‑site).
Work Shift:
1st Shift, Monday‑Friday, 8:30 AM – 5:00 PM.
Estimated Compensation: $45,400.00 – $65,600.00 USD per year.
